The Regional Operations Manager oversees the daily operations/performance of the dental offices that are assigned to their territory, along with supervising and coordinating all staff activities in conjunction with the office manager for those practices and implementing/monitoring protocols and directives as drafted by the management team.
The position also requires knowledge and experience in all facets of dental practice office management; such as recordkeeping, mail distribution, patient reception, scheduling, billing, and insurance claim aging, properly handling patient records, office compliance with HIPAA/OSHA/WISP, handling staff disciplinary concerns and ensuring consistency with all company policies. This position also requires a hands-on approach to hiring and training new/existing employees.
Essential Functions:
- Conduct orientation sessions and arrange on-the-job training for new hires along with ensuring all procedures are followed to collect all necessary new hire documentation in conjunction with the Office Manager.
- Assess staff performance and conduct 90-day employee reviews along with annual performance reviews for all established employees, along with participating in annual reviews for existing employees and in conjunction with the OM for all office staff.
- Assist OM in handling any staff disciplinary concerns and refer to the HR Director as needed, handle all disciplinary concerns for OM within the region.
- Analyze training needs to develop new training programs or modify and improve existing programs.
- Train workers in proper operational procedures and functions, and explain company policies.
- Conduct or arrange for ongoing technical training and personal development classes for staff members as needed.
- Prepare and review operational reports and schedules to ensure accuracy, efficiency and productivity for each practice to ensure that monthly budgets/targets are met.
- If practice is not performing properly, work with staff and notify management to ensure that all means to improve performance are followed.
- Develop a performance action plan and submit before the end of month is processed.
- Review all financial reports on a daily basis from each practice to check for irregularities and ensure the reports are sent to the Finance Department accurately and timely.
- Assist OMβs with Process End-Of-Month and End-Of-Year reports as needed.
- Conduct regular office meetings with clear objectives and guidelines.
- Verify employee time sheets as needed and submit required paperwork to the Finance Department on a bi-weekly basis.
- Ensure that teams are not working unnecessary overtime.
- Ensure that practice is accurately calculating and collecting patient copayments and accurately post payments and procedures to the patient account as needed.
- Support office manager with company initiatives such as Adit, Recallmax, Aging, and Abella.
- Coordinate staffing, scheduling and vacation requests.
- Acquire, distribute and store office/dental supplies as needed.
- Monitor the Practice to ensure that it remains safe, secure, and well-maintained.
- Ensure that the Practice remains fully compliant with HIPAA, OSHA, WISP and other regulatory requirements and that all team members receive their annual certification.
- Observe and evaluate workers' appearance and performance to ensure quality service and compliance with specifications.
- Inspect work areas and operating equipment to ensure conformance to established standards in areas such as cleanliness and maintenance.

- Must maintain regular, consistent and punctual attendance in accordance with assigned schedule and time off policies.
- Must be able to comfortably and efficiently handle multiple deadlines and task assignments for self and subordinates.
- Must be able to work both independently and cooperatively in team settings.
- Review the cleanliness and organization of each practice on a daily basis.
- Occasionally there may be some travel outside of territory, by car, required in order for you to participate in continuing education or seminars.
