Role Overview

We are seeking an experienced Document Controller to join our team on a part-time basis. The successful candidate will be responsible for managing company documents and project deliverables, ensuring accuracy, quality, and integrity across all stages of the project lifecycle.

Key Responsibilities

  • Control the numbering, filing, sorting, and retrieval of electronically stored documentation produced by project teams

  • Ensure identification of documents and compliance with standard templates and formats

  • Perform quality and compliance checks on all documentation prior to issue

  • Register and maintain documents in Electronic Document Management Systems (EDMS)

  • Maintain document registers and trackers to support project reporting

  • Ensure external engineering contractors comply with standards, procedures, work instructions, and specifications

  • Liaise with project teams and external stakeholders to distribute project information efficiently

  • Prepare ad-hoc project reports as required

  • Manage project files from initiation through to close-out

  • Oversee the transmittal of information between company, contractors, and other organisations, ensuring database/log entries are updated for tracking

  • Provide administrative support and undertake document control training as required

Skills & Experience Required

  • Minimum 2 years’ experience in document control and records management

  • Strong knowledge of document control processes and best practices

  • Systematic, organised, and able to work under pressure

  • Confident communicator, both written and verbal

  • Proficient in MS Office applications (Excel, Word, PowerPoint, Teams, SharePoint)

  • Experience with all four EDMS systems: ProjectWise, Business Collaborator, BIM360, and A-Site

  • Adaptable and able to manage change effectively

  • Strong attention to detail and ability to multitask

  • Highly organised, with the ability to work independently and as part of a team
