This is an exciting new role opportunity for someone to work in a challenging and fast learning environment as a Business Support Assistant with PA elements to the role. You will be involved in a variety of tasks supporting the business across different departments. The role will include training on Adsyst processes and procedures and any other essential areas that will aid our management team. This will include some time spent at our head office in Yateley, Hampshire. This pivotal role will be to ensure the Senior Engineering Delivery Manager’s day‑to‑day operations run smoothly, enabling him to focus on strategic initiatives and prioritise tasks. This role will provide a key link between the Project Managers and the Senior Engineering Delivery Manager.
We are looking for someone who is proactive, organised, concise, has good attention to detail and excellent writing proficiency/literacy skills, enabling them to assist with a variety of demands from the business. Full‑time position (08:30-17:15 Monday to Thursday and 08:30-16:00 on Fridays)
Duties include:
- Provide efficient PA support to the Senior Engineering Delivery Manager assisting them to fulfil their responsibilities and activities of their role
- Managing diaries and task lists, including appointments and meetings, provide administrative support, such as planning and scheduling events, and handling correspondence
- Completing and submitting Senior Engineering Delivery Manager’s timesheets on a weekly basis
- Assisting with Project Support on an administrative basis
- Logging and keeping track of office uniform and PPE
- Onboarding processes for new joiners
- Assigning visitors ID badges and signing them in & out of the building
- Full Management of the London Stores room
- Monitoring of the London office Credit card and logging all activities
- Monitoring allocation of access to Company vans between employees
- Ordering all essential office stationary / stock i.e., tea, coffee, sugar, milk etc on a daily basis
- Looking after the London office car parking rota and updating the portal
- Assisting the wider team when required with administration activities such as answering phones and taking messages
- Any other adhoc duties
What we are looking for:
- Minimum qualification A-Levels in English and IT
- Previous experience within a Personal Assistant or Executive Assistant role, supporting at executive level
- Confident individual who can demonstrate strong communication and customer service skills and will have the ability to build relationships quickly
- The ability to thrive both independently and as part of a team
- Good IT literate in Word, Excel, PowerPoint and Outlook
- Proactive and a flexible team player who enjoys working in a fast-paced environment and you will take a methodical approach to tasks, ensuring attention to detail
- Excellent verbal and written communication
- Excellent Time Management and Organisation
- Clean UK Driving Licence
- Must be eligible to work in the UK
