This role provides high-level, comprehensive Personal Assistant support to the Aerospace Commercial Director and Aerospace Events Director, ensuring the smooth and effective operation of their day-to-day activities. Acting as a trusted gatekeeper and key point of coordination, the postholder manages complex diaries, communications and priorities, while maintaining close working relationships with senior internal stakeholders, external clients and partners. The role plays a critical part in enabling effective decision-making, project delivery and stakeholder engagement across the organisation.
The postholder is responsible for planning and coordinating domestic and international travel, preparing detailed itineraries and briefing materials, and supporting meetings through accurate minute-taking, action tracking and follow-up. The role also provides hands-on support to project teams and major FIL events, ensuring information flow, accountability and progress reporting remain robust. Alongside executive support, the role contributes flexibly to wider business needs, supporting peak workloads, project-based activity and overseas travel as required, while fostering a collaborative, well-organised and professional working environment.
THE CANDIDATE
We are seeking a highly experienced and professional Personal Assistant who has a proven track record of supporting senior executives at director level. The ideal candidate will demonstrate exceptional diary management skills, confidently handling complex and frequently changing schedules across multiple priorities and stakeholders, while acting as a trusted gatekeeper with sound judgement over communications, access and competing demands. You will be highly organised, with strong planning capabilities and the ability to manage tight deadlines and confidential matters with minimal supervision, alongside a solid level of commercial awareness to provide proactive and informed support within a director-level environment.
You will possess outstanding written and verbal communication skills, with experience preparing high-quality correspondence, reports, presentations and briefings on behalf of senior leaders. Absolute discretion and professionalism are essential, particularly when handling sensitive and commercially confidential information. Advanced Microsoft 365 skills are required, with a strong ability to use digital tools to drive efficiency, alongside proven experience in coordinating complex meetings, travel and events, including full logistical ownership and follow-up actions.
The successful candidate will build strong, credible relationships with stakeholders at all levels, representing the Executive and wider organisation with confidence. You will take a proactive, solutions-focused approach, anticipating needs and resolving challenges before escalation, while remaining calm, resilient and adaptable under pressure. A high level of attention to detail and accuracy is critical, ensuring consistently high standards across all outputs and communications.
THE CONTRACT
Contract: Permanent, Full time, 37.5 hours per week
Working pattern: Monday to Friday
Hybrid Working: 3 days in the Farnborough office and 2 days from home (after induction period)
Travel: Willingness and flexibility to travel overseas when required, subject to reasonable notice.

ESSENTIAL SKILLS & EXPERIENCE
- Demonstrable experience providing high-level Personal Assistant support to senior executives or directors
- Exceptional diary management expertise, including managing complex, frequently changing schedules across multiple priorities and stakeholders
- Proven ability to act as a trusted gatekeeper, exercising sound judgement on priorities, communications and access to the Director
- Highly developed organisational and planning skills, with the ability to manage competing demands, tight deadlines and confidential matters with minimal supervision
- Good commercial awareness and understanding of director-level working environments, enabling proactive and informed support
- Outstanding written and verbal communication skills, with experience drafting correspondence, briefings, reports and presentations on behalf of senior leaders
- Absolute discretion and professionalism when handling sensitive, confidential and commercially sensitive information
- Advanced proficiency in Microsoft 365, including Outlook, Word, PowerPoint and Excel, with confidence in using digital tools to drive efficiency
- Proven experience coordinating complex meetings, events and travel, including agendas, papers, logistics, actions and follow-up
- Ability to build strong, credible relationships with internal and external stakeholders, representing the Executive and wider organisation with confidence
