Due to continued growth, the company is now seeking a proactive and highly organised Executive Personal Assistant to support five Senior Directors. Executive Assistant to the Board of Directors – THE ROLE: A highly organised and proactive Executive Assistant is sought to provide exceptional administrative support to the Executive Board of Directors . This pivotal role requires outstanding communication skills, meticulous attention to detail, and the ability to manage multiple tasks efficiently while maintaining professionalism and confidentiality. As a key member of the executive team, the successful candidate will play an essential role in ensuring the seamless operation of daily activities and supporting high-level executive functions. Key Responsibilities Executive Support: Provide comprehensive administrative assistance to the Board of Directors, including calendar management, meeting scheduling, and travel coordination. Communication Liaison: Serve as the primary point of contact between the Executive Board and internal/external stakeholders, ensuring clear and timely communication. Meeting Coordination: Prepare agendas, record meeting minutes, and follow up on action items for board meetings and executive sessions. Document Management: Organise and maintain confidential files, reports, and presentations, ensuring all materials are prepared for board meetings and executive functions. Travel & Logistics: Arrange complex travel plans, including accommodations, transportation, and detailed itineraries. Event Coordination: Assist in the planning and execution of events such as board retreats, meetings, and conferences. Project Assistance: Support project coordination by tracking ongoing initiatives, managing deadlines, and ensuring smooth execution. Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism. Ad hoc Tasks: Undertake additional administrative duties as required by the Executive Board. Required Skills & Qualifications Proven experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role. Exceptional organisational and multitasking abilities, with a keen eye for detail. Strong verbal and written communication skills. Ability to work independently and manage time effectively in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with scheduling and calendar management tools. Strong problem-solving skills and a proactive approach to tasks. Demonstrated ability to handle confidential information with discretion. A professional demeanor and a positive attitude. Preferred Qualifications A degree in Business Administration, Communications, or a related field.
