We’re looking for an enthusiastic, hardworking, and proactive Personal Assistant, to provide support to our EUI (UK) CFO, Director of Group Finance & Senior Group Finance Manager, on either a part-time or full time basis.

This is great opportunity to join exciting areas of the business, in a varied and challenging role, with interaction with stakeholders at all levels across the Group.

The role requires confidentiality, discretion, the use of initiative and the ability to work effectively with senior management and staff at all levels. The role is varied and to be most effective, the successful candidate will enjoy gaining a wider understanding of the business and insurance market.

A can-do attitude and positive approach are essential.

About the Team

Managing the finances and looking after the numbers for an organisation of our size and scope is a big and exciting task which provides plenty of variety and responsibility. Working within the team, you’ll support the:

Key Duties and Responsibilities

  • Provide full diary and administration support to the managers and wider team;
    • Manage the diary autonomously, discussing priorities every week
    • Organise meetings and manage potential conflicts flexibly and sensibly
    • Other administration tasks like arranging travel and accommodation when required, managing expenses, external providers invoicing, etc.
  • Co-ordinate and minute internal and external meetings when needed – weekly/monthly with an accurate action log maintained
  • Prepare and distribute meeting packs and other meeting information or presentations
  • Organise induction and onboarding for new joiners – organising relevant IT hardware, software/file access and onboarding meetings
  • Coordinate and run monthly/quarterly department meetings and social events, also keeping a track of the budget to support this
  • Our finance teams are constantly evolving and growing, working closely with our recruitment partner to support the recruitment experience for external candidates
  • Support direct reports as required
  • Ensuring direct reports have regular one to ones and appraisals
  • Be prepared to challenge the status quo if needed and make suggestions for improvement
  • Work closely with network of EAs around the business on a regular basis, including in other countries/time zones to ensure cohesion for senior management across the Admiral entities

Experience and Skills Required

  • Excellent organisational and prioritisation skills
  • Experienced at supporting and communicating with senior individuals and external stakeholders, always maintaining a professional manner
  • Comfortable engaging with colleagues of all levels across the group
  • Proactive approach to administration – spotting issues / problems before they arise, and can anticipateopportunities to support the wider team
  • Able to identify issues quickly and come up with effective solutions
  • Flexibility to support the changing workload of the department and managers, and a willingness to work outside of core hours when necessary
  • High level of attention to detail and accuracy when producing work
  • Advanced knowledge of Microsoft Office
