We are seeking a highly driven and organised Traffic & Resource Coordinator to join us on a fixed term contract for a minimum of 9 months, with the possibility to extend. You will support smooth workflow through the agency, making sure briefs are complete, timelines are realistic and the right people are scheduled at the right time. You will work under the guidance of the Operations Manager and build confidence in prioritisation, stakeholder management, and the fundamentals of resourcing and budget tracking.

Your goal is to help the team deliver high‑quality creative and strategic output on time and within budget, while you learn and develop towards taking on greater ownership over time. This is a hybrid role, with an expectation to be in the Bristol office 2 -3 days per week.

Responsibilities
  • Support intake, triage and validation of new resource booking requests; log and maintain details in the agency management system and escalate gaps when needed.
  • Maintain and update daily schedules for Creative and Strategy & Planning teams; identify bottlenecks and propose solutions.
  • Assist with freelance bookings, including briefs, rates, IR35 checks and POs.
  • Track freelance costs and POs; prepare simple cost and utilisation reports and flag variances.
  • Manage supplier subscriptions and renewals, identifying efficiency opportunities.
  • Ensure jobs meet minimum entry criteria (brief, timings, job number, approvals) and escalate exceptions.
  • Prepare and run daily creative stand‑ups; attend weekly scheduling meetings, capturing and actioning follow‑ups.
Skills and Experience
  • 1–2 years' experience in traffic/resource coordination, studio ops, or project coordination within creative, digital, or marketing environments.
  • Strong organisational skills with the ability to manage multiple tasks and meet deadlines.
  • Clear written and verbal communication; confident asking questions and escalating early.
  • High attention to detail across data entry, scheduling, and cost tracking.
  • Competent with scheduling/PM tools (training provided) and proficient in Microsoft 365.
  • Awareness of multi‑discipline resourcing and cross‑functional creative workflows.
  • Basic budget familiarity including time/cost logging, POs and freelance invoice reconciliation.
