GP Receptionist – Adelaide Street Surgery

Due to staff change, we have a Receptionist vacancy based at our Adelaide Street site. This post is for 27 hours per week. Flexibility to work overtime e.g. to cover for colleagues on annual leave is essential. This role is on a fixed rota.

Our Reception team provides an efficient and effective receptionist service to staff and patients.

Working with a great team, you need to be flexible, approachable and tolerant to the challenges of working with a complex patient population in inner city Plymouth. No day is ever the same, here we can and do make a difference but its not always easy!

Main duties of the job

The purpose of the role is to:

  • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
  • Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of clerical support to clinical staff and other members of the practice team
  • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated health, social and voluntary agencies

Undertakea variety of administrative duties to assist in the smooth running of thepractice including the provision of clerical support to clinical staff andother members of the practice team

Facilitateeffective communication between patients, members of the primary health careteam, secondary care and other associated health, social and voluntary agencies

Duties andresponsibilities:

Theduties and responsibilities to be undertaken by members of the practiceadministration team may include any or all of the items in the followinglist. Duties may be varied from time totime under the direction of the reception manager/practice manager, dependenton current and evolving practice workload and staffing levels:

Openingup/locking up of practice premises and maintaining security in accordance withpractice protocols

Maintainingand monitoring the practice appointments system

Processingpersonal and telephone requests for appointments, visits and telephoneconsultations and ensuring callers are directed to the appropriate healthcareprofessional

Processingand distributing incoming (and outgoing) mail

Takingmessages and passing on information

Filingand retrieving paperwork

Pullingnotes and deducting patients and forwarding to Health Authority

Summarisingof new notes received within the appropriate timescale

Advisepatients of relevant charges for private services, accept payment and issuereceipts for same

Haveworking knowledge of telephone/fax system

Registeringof new patients, collating information that may be required prior to notesarriving

Directingcomplaints in the appropriate manner

Processingrepeat prescriptions in accordance with practice guidelines

Computerdata entry/data allocation and collation; processing and recording informationin accordance with practice procedures

Initiatingcontact with and responding to requests from patients, other team members andassociated healthcare agencies and providers

Providingclerical assistance to practice staff as required from time to time, includingword/data processing, filing, photocopying and scanning

Keepingthe reception area, notice-boards and leaflet dispensers tidy and free fromobstructions and clutter

Anyother tasks allocated by managers/partners

General Duties

Workeffectively, participate in and contribute positively to the reception and thewider Primary Health Care Team ensuring good communication about all aspects ofthe practice

Allmembers of the Primary Health Care Team are required to attend and contributeto meetings / away days and ongoing training requirements.

Responsiblefor identifying need and updating qualifications according to currentprofessional guidelines. Keep abreast ofcurrent trends and developments in professional matters.

Thepost holder is required to conform to all St Levan Surgery policies and toattend any training sessions as necessary.

Qualifications

  • General education to GCSE level or appropriate compensatory experience

Experience

  • 2 yrs dealing with the public; clerical duties & telephone work
  • Receptionist experience
