Location: Hybrid
21 hours (3 days) per week β the exact pattern is to be agreed with the line manager. The majority of time (at least 60%) is in the office. Some evenings may be required to support events. Core hours are 9:30am β 5:30pm.
Start date is flexible between 20 July and 7 August 2026. End date around 18 December 2026, with the possibility of extension.
Specific dates required: 7β10 September 2026 (preferably most of these dates during office hours); 24 September 2026 (8:30amβ5:30pm or earlier); 12 November 2026 (evening until ~8:30pm); 13 November 2026 (8:30amβ6:30pm).
DutiesThe role provides comprehensive administrative support in the Financial Markets Group (FMG) and the Initiative in Sustainable Finance within the Global School of Sustainability (GSoS) under the direction of the FMG Centre Manager. The postholder will work in a team on activities including communications, event organisation, and office support.
Office coordination- Provide administrative support to Centre staff or projects, including arranging meetings, travel arrangements, document processing, and other tasks as required.
- Serve as a point of coordination and information for students, staff and visitors to the Centre.
- Support the publication process for working papers, special papers and conference proceedings, ensuring outputs meet editorial requirements and are published in a timely manner.
- Process expenses claims, invoices, purchase orders and related tasks.
- Ensure the Centre environment is monitored and maintained to a high standard.
- Maintain and order office supplies and equipment in a timely and efficient manner.
- Work with academics and professional services to develop and disseminate content, using a range of channels and online tools.
- Develop and maintain webpages for the Centre and projects.
- Support conferences, seminars, workshops, and public events, including planning, promotion, delivery and follow-up.
- Act as primary contact for event speakers, delegates and academics, coordinating with services such as Estates, Communications and DTS and external suppliers to ensure successful delivery.
- Book and organise accommodation and travel for speakers and participants.
- Train and supervise events assistants and stewards where required.
- Keep accurate records for events (attendance, press interests, costs, invoices, evaluation records, etc.).
- Attend events and play an active role on the day, including events outside the university.
- Maintain the database of attendees and conduct analyses as required.
- Some evening and weekend work may be required.
- Excellent written and verbal communication skills; ability to communicate clearly and accurately to a wide variety of people.
- Experience communicating with high-profile individuals and handling sensitive information tactfully.
- Ability to plan and organise own workload with initiative and limited supervision.
- Ability to meet deadlines, prioritise multiple tasks, and maintain attention to detail.
- Proactive and creative approach to tasks.
- Strong skills in common tools, such as Microsoft Office.
- Experience of events management, diary management, web editing or using web content management systems, and using social media is desirable.
