We are looking for a Sales/Supply Service Representative (SSR) to join a fast-paced, customer-focused team. This is a key role acting as the first point of contact for customers and suppliers, supporting either the sales or purchasing side of the business (or sometimes both).

Key Responsibilities

  • Sales-Side:
    • Act as the first point of contact for customers regarding orders
    • Receive orders via email/phone and process them in the system
    • Handle queries about pricing, delivery, and order status
    • Maintain positive relationships with customers and colleagues
    • Resolve complaints efficiently, including damaged or delayed deliveries
    • Keep systems and colleagues updated with relevant information
    • Collaborate with team members and support overall team goals
    • Undertake any other ad hoc tasks as required
  • Purchasing-Side:
    • Place supplier purchase orders in the system according to customer/supplier needs and stock levels
    • Resolve queries related to purchase orders, delivery delays, and stock discrepancies
    • Maintain stock levels following company policies
    • Work closely with third-party warehouses and logistics providers to address issues
    • Build strong relationships with suppliers and colleagues
    • Record and resolve purchase-related complaints to improve processes
    • Collaborate effectively with the team and support overall operations
    • Undertake any other ad hoc tasks as required

Ideal Candidate

  • Excellent communication skills, both verbal and written
  • Resilient, able to multitask, and work under pressure
  • Solutions-focused and resourceful, able to problem-solve independently
  • Proactive, with a can-do attitude and willing to support the team
  • Team player, collaborative and supportive of colleagues
  • Numerate and comfortable working with numbers, spreadsheets, and reports
  • Good IT skills, especially Microsoft Word and Excel; training will be provided on internal systems
  • Administration experience is advantageous but not essential
  • Minimum GCSE (or equivalent) Maths and English grade C or higher
