Reporting to: Board Governance Officer
Purpose of the Role
To provide high-level administrative and governance support to the Executive Team, Non-Executive Directors, and the Company Secretarial Services function.
Key Responsibilities
- Executive Support
- Provide diary management and administrative support to the Executive Team.
- Coordinate annually with Finance to set and manage the CEO's budget (travel, accommodation, legal, charitable contributions).
- Prepare internal and external correspondence, including confidential materials.
- Schedule annual appraisal meetings for the CEO and Executive Team.
- Act as the main point of contact for Executive guests and visitors.
- Manage stationery stock within budget.
- Support ad hoc projects as directed by the Executive.
- Non-Executive Director Support
- Provide administrative support to Non-Executive Directors.
- Arrange annual appraisal meetings for Non-Executive Directors.
- Company Secretarial Services
- Assist in planning and scheduling Board, sub-committee, and management committee meetings.
- Help prepare forward-looking agendas to support Board and Committee effectiveness.
- Collate and distribute Board/Committee packs within agreed timelines.
- Organize logistics for meetings (venues, refreshments, etc.).
- Attend and minute management committee meetings (excluding Executive Committee).
- Deputize for the Board Governance Officer during absences.
- Ensure meetings are audio recorded and transcribed as needed.
- Assist in organizing the AGM.
- Contribute to team development initiatives.
- Perform other secretarial duties as required.
Skills and Experience
- Excellent typing and audio transcription skills.
- Proficient in Microsoft Outlook, Word, Excel, and Microsoft Project.
- Strong written and verbal communication skills.
- Excellent telephone manner and interpersonal skills.
- Ability to multitask and work under pressure.
- Highly organized and self-motivated.
- Flexible and adaptable to changing priorities.
- Prior experience in office/administrative/secretarial roles.
- Commitment to confidentiality and professional discretion.
- Eagerness to develop industry knowledge and skills.
Qualifications
