Role Overview
The operations Coordinator plays a central operational role in the delivery of diligence assignments. You will manage processes from initial instruction through to report issuance, ensuring schedules, workflows, and documentation are handled accurately and efficiently.
This position acts as a key coordination and communication hub - supporting examiners, clients, management, and the finance team to keep projects on track and running smoothly.
Key Responsibilities
- Diligence Assignment Scheduling & Workflow Management
- Manage and maintain the central scheduling diary, updating changes in real time.
- Coordinate assignment instructions, timelines, and examiner availability.
- Set up and maintain job records within internal systems and workflow trackers.
- Monitor assignment progress and follow up on actions to ensure deadlines are met.
- Diligence Assignment Support & Coordination
- Arrange travel and site visit logistics for field examiners.
- Provide examiners with timely access to all job documentation and information.
- Act as a central point of contact between examiners, clients, and internal teams.
- Support ad-hoc operational needs related to assignment delivery.
- Client & Internal Communication
- Professionally liaise with clients regarding scheduling and logistics.
- Coordinate with the finance team to ensure accurate job information and billing readiness.
- Escalate operational issues to management when necessary.
- Documentation & Reporting
- Prepare and issue standard Engagement Letters using approved templates.
- Support the issuance of diligence reports, ensuring accuracy and version control.
- Maintain workflow trackers and spreadsheets with complete, up-to-date data.
- General Operations & Administration
- Provide broader office and operational support as needed.
- Assist management with bookings, correspondence, and documentation tasks.
- Contribute to process improvements and efficiency initiatives.
- Provide cover for team members during leave or absence.
- Assist with ad-hoc projects.

- Strong proficiency with Microsoft Office and general office systems.
