Join Our Team as a Maintenance Administrator with an excellent starting salary of £29,000. Are you looking for a dynamic role in a bustling environment? Our client, a global leader in energy management and automation, is seeking an experienced and dynamic administrator to support and assist the Engineering & Maintenance teams at their state of the art facility in Eastfield, Scarborough. This role is temporary with the possibility of becoming permanent for the right candidate.

About the role:

  • Key Responsibilities
    • Maintenance Planning & Scheduling
      • Plan, schedule, and coordinate preventative maintenance activities for plant and equipment.
      • Organise and maintain maintenance schedules for internal maintenance technicians.
      • Coordinate visits from external contractors and service providers.
      • Raise work requests and ensure maintenance tasks are scheduled in line with operational requirements.
      • Monitor completion of planned maintenance activities and follow up on outstanding work.
      • Maintain maintenance calendars and shutdown schedules.
      • Assist with prioritisation of maintenance activities based on business needs and equipment criticality.
    • Contractor Coordination
      • Arrange contractor site visits and ensure all necessary site requirements are completed prior to attendance.
      • Liaise with contractors regarding work scopes, schedules, quotations, and service reports.
      • Maintain contractor records and documentation.
      • Support compliance with site health, safety, and contractor management procedures.
    • Purchasing & Procurement
      • Create and manage purchase requisitions and purchase orders through the Coupa procurement portal.
      • Track orders, deliveries, and supplier performance.
      • Liaise with suppliers to obtain quotations, lead times, and delivery updates.
      • Ensure purchasing activities comply with company procurement policies.
      • Maintain accurate purchasing records and documentation.
    • Spare Parts & Stock Management
      • Manage critical spare parts inventory for manufacturing equipment and plant assets.
      • Monitor stock levels and reorder spare parts as required.
      • Identify critical equipment spares and ensure minimum stock levels are maintained.
      • Perform regular stock checks and inventory audits.
      • Maintain accurate stock records within SAP and associated systems.
      • Work closely with maintenance engineers to identify future spare parts requirements.
    • Systems & Administration
      • Maintain accurate maintenance records and documentation within SAP.
      • Produce maintenance KPI reports and performance metrics.
      • Support the Maintenance Manager with planning reports, budgets, and maintenance data analysis.
      • Manage engineering documentation, service reports, manuals, and records.
      • Ensure data integrity across maintenance management systems.

What We're Looking For:

  • Essential
    • Previous experience in a maintenance administration, maintenance planning, engineering support, or similar role.
    • Experience coordinating maintenance activities and contractor scheduling.
    • Experience managing purchase orders and supplier communications.
    • Inventory or spare parts management experience.
    • Strong organisational and planning skills.
    • Excellent communication and interpersonal skills.
    • Ability to manage multiple priorities in a fast-paced manufacturing environment.
    • High attention to detail and accuracy.

IT Skills Required

  • Proficient in Microsoft Teams / Microsoft Word / Microsoft Excel (including data analysis and reporting) / Microsoft PowerPoint
  • Experience using SAP
  • Experience using procurement platforms such as Coupa (preferred)
  • Ability to learn and use maintenance management systems
