An exciting opportunity has emerged for an Executive Support Co‑Ordinator to join one of Adecco's leading public sector housing clients in a temporary assignment until they fill the role permanently. Working hybridly from our client's Dartford (Kent) office 3-4 days each week (1-2 days each week working from home), this is a full‑time role (35 hours each week, Monday to Friday) and in this role you will be at the heart of the Executive Office, providing proactive support to the Executive team.
Your primary responsibility will be to manage the daily operations of the Executive team calendars, meetings, and travel with exceptional attention to detail. This role requires initiative, autonomy, and a proactive approach to ensure everything runs smoothly without constant supervision. You will be empowered to anticipate the needs of the Executive team, take ownership of tasks, and resolve issues efficiently and independently.
Key elements of the role include:
- Diary Management: Take charge of the Executive Director's calendars. Ensure all appointments, meetings, and travel are seamlessly organized and prioritized. Proactively tackle scheduling conflicts with ease.
- Initiative & Proactiveness: Anticipate the Executive Team's needs and offer solutions before issues arise. Stay ahead of deadlines and take ownership of tasks with minimal direction.
- Travel & Accommodation Coordination: Arrange and manage all travel logistics, including accommodations, ensuring hassle‑free experiences.
- Handling Inquiries: Serve as the first point of contact for the Executive Team. Professionally manage inquiries and exercise sound judgment on urgent matters.
- Meeting Organization & Preparation: Own the organization of meetings. Prepare agendas, distribute materials, and coordinate logistics. Attend meetings, take minutes, and ensure action points are followed up promptly.
- Communication Management: Handle incoming communications for the Executive Team. Respond to emails and calls promptly, drafting correspondence with professionalism and accuracy.
- Independent Workload Management: Manage your tasks independently, prioritizing effectively to ensure timely completion. Identify and tackle additional responsibilities beyond daily expectations.
- Record Keeping & Data Governance: Maintain accurate records and manage all data in line with our Data Governance Framework and relevant legislation.
Entry Requirements:
- Absolute discretion when dealing with highly confidential and sensitive information
- An excellent standard of education with a high level of proficiency in written English
- Articulate and professional in verbal communication
- Excellent time management
- Previous experience producing accurate high‑level minutes
- Advanced use of MS Office suite, particularly MS Word
- Proficient in office administration - organising systems, records and files
- Understanding of social housing
- Awareness of Data Protection Act

- Qualification in business administration
