About the Role
We’re looking for a versatile and detail-oriented Admin Support Associate to join our ITSD team. This role blends administrative support, IT operations, governance, and process control — ideal for someone who thrives on variety and can manage multiple priorities with precision. If you enjoy working across different functions and collaborating with global teams, this role offers a unique opportunity to make an impact.
Key Responsibilities
- Provide day-to-day administrative support to ITSD staff, ensuring smooth operations.
- Assist with budget control, procurement processes, and expense management: Issue purchase orders (POs), process invoices, and submit via Coupa/IMS. Handle staff expense claims accurately.
- Support IT asset management and governance: Process HEAT requests (e.g., leaver and loan laptops). Conduct audits across London and EMEA offices. Maintain accurate data records and reporting within governance frameworks.
- Collaborate with internal teams and stakeholders to resolve queries and ensure compliance.
- Work with IT systems for daily operations and support process improvements.
What We’re Looking For
- Admin experience with exposure to IT systems and governance frameworks.
- Knowledge of budget control, procurement, and account booking is a plus.
- Strong Excel skills (formulas, data manipulation) and familiarity with internal systems.
- Excellent communication and interpersonal skills for daily interaction with department staff.
- Ability to manage workload under pressure, meet deadlines, and handle multiple tasks.
- Highly organised, detail-oriented, and capable of working independently.
- A collaborative team player who can adapt to shared responsibilities.
- Japanese language or cultural understanding is a bonus (due to team interactions).
