We are looking for an Administrative Business Partner to provide high-quality administrative and operational support to senior leaders and teams within our Marketing organisation. This is a contract role based in London, operating in a hybrid working model.
As an ABP, you’ll manage complex calendars, coordinate travel, support meetings and events, and help drive site culture and operational efficiency. You’ll be expected to exercise sound judgment, maintain strict confidentiality, and thrive in a fast-paced, ambiguous environment.
Key Responsibilities- Calendar & Time Management
- Proactively manage and optimise complex calendars across multiple time zones
- Resolve scheduling conflicts and build in preparation time for key meetings
- Provide recommendations to support effective leadership time allocation
- Travel Coordination
- Coordinate end-to-end domestic and international travel, including visa and passport support
- Prepare travel itineraries and provide on-call support during travel as required
- Support post-travel documentation and follow-ups
- Meetings & Executive Support
- Prepare meetings including room bookings, equipment, agendas, and materials
- Ensure alignment between meeting objectives and materials
- Assist with professional note-taking and action tracking
- Finance & Expense Management
- Submit accurate and timely expense reports
- Review and process invoices and purchase orders
- Support basic budget management activities
- Events, Culture & Community
- Plan and execute internal and external programs and events (e.g. team offsites, site-wide events, tech talks)
- Manage event logistics such as venues, vendors, equipment, and travel
- Contribute to site culture initiatives and the wider Administrative Business Partner community
- Facilities & Office Space
- Assess and manage office space needs
- Liaise with internal partners (e.g. Real Estate & Workplace Services) on moves and space allocation
- Projects
- Deliver small to medium-scale projects or events from initiation through completion
- Identify risks and implement corrective actions with minimal guidance
- Ideally within a technology or multinational organisation
- Proven experience in:
- Calendar and travel management
- Expense and budget administration
- Event and meeting coordination
- Managing confidential information with discretion
