Adecco are pleased to be recruiting for an Assistant Supplies Officer to join North Wales Police.

You would be based for the HQ in Colwyn Bay. This is a Monday – Friday position, working 9-5. The rate is £14.40 per hour.

Please note, this role will involve manual handling.

OVERALL PURPOSE OF JOB: To provide support to the Supplies Manager, to receive, check and record all goods delivered to the section and to issue as requested.

DUTIES AND RESPONSIBILITIES:

  • To maintain and administer the Stores IT systems
  • To assist the Supplies Manager in general clerical duties and in particular with the raising of purchase orders, progressing of orders, sourcing of equipment/services and dealing with other routine and non routine enquiries.
  • To perform stock checks as required and investigate and resolve all discrepancies found.
  • To collate information from the section or computer system as required by the Shared Service Centre Manager or Supplies Manager.
  • To supply and fit uniform to all staff.
  • To liaise with the Shared Service Centre Manager concerning all routine order/invoice matters.
  • To progress and chase purchase orders.
  • To check invoice submitted against orders raised by the section and to clear invoices for payment on proof of delivery. To input details of all transactions to the computerised system.
  • To respond to new Force initiatives in respect of the requirements of new technology, Health and Safety.
  • Advise customers on the services and goods supplied and deal with any complaints.
  • Monitor stock levels and amend levels accordingly
  • Arrange destruction/disposal as may be necessary of returned clothing items or any stock written off by either the Supplies Manager or Shared Service Centre Manager.
  • To organise collection of goods being returned to suppliers and ensure the correct procedures are enforced.
  • Operate a good housekeeping policy, ensure a tidy work area and safety system of work within the section.
  • Prepare and input data into the computer, ensuring the accuracy of the information.
  • To assist in the training of new staff in the section on the computer system.
  • Receive customers, visitors, drivers and telephone enquiries. To ascertain and fill the relevant requirements whilst maintaining the security and integrity of the supplies section.
  • Undertake general stores maintenance including stock relocation, stock checking procedures and ensuring a safe and tidy working area.
  • Monitor stock levels and bring shortages/surpluses to the notice of the Supplies Manager, or place the appropriate order/s.
  • Advise customers on the maintenance of uniform.
  • When issuing items of clothing, fit customers from stock where possible, or label the garment for alteration.
  • In the case of alterations to complete necessary instructions and liase with the Tailoress.
  • Where it is not possible to fit or alter a garment, take full measurements of the customer and submit a \’special measure\’ sheet and place appropriate order.
  • Any other duties as directed by a Supervisory Officer commensurate with the post and salary grading.
  • The role requires applicants who can demonstrate (with evidence) skills in the following areas:

  • NVQ level 3 or equivalent in Purchasing or related subject (e.g. working towards CIPS foundation stage), or an equivalent amount of proven relevant experience.
  • Minimum of English and Maths at GCSE level or equivalent.
  • Previous experience of working in a similar environment to stores/supplies.
  • Basic IT skills, keyboard skills, with knowledge of processing orders/invoices.
  • Fit to carry out duties and tasks including lifting and handling equipment etc. (Some of which will be of a heavy nature)
  • Ability to work under own supervision and initiative.
  • Ability to communicate with colleagues, supervisors, managers and other personnel as appropriate in person/on the telephone and in writing.
