Led by Joel McDonald alongside Tim Carter, the team works across the firm’s international offices to support clients throughout the full lifecycle of brand creation, protection and commercialisation.
As our IP Portfolio Management Practice continues to grow, we are looking for a Records Manager to oversee the organisation, maintenance and protection of intellectual property records across trade marks, designs and copyrights. This is an exciting opportunity for an experienced IP records professional to play a central role in strengthening operational efficiency, supporting high-profile international portfolios and helping to shape best practice within a growing specialist team.
What You'll Do
- Manage and maintain accurate IP portfolio records, including trade marks, designs and copyright documentation across multiple jurisdictions.
- Oversee docketing processes, ensuring all deadlines, renewals and key dates are recorded and actioned accurately and on time.
- Develop and implement records management policies, procedures and best practices in collaboration with the Head of Brands.
- Support fee earners, paralegals and clients by ensuring portfolio records and instructions remain current, accurate and commercially aligned.
- Coordinate audits, due diligence exercises and regulatory or client enquiries relating to IP portfolios and records.
- Manage the digitisation, storage, accessibility and security of both electronic and physical IP records.
- Support continuous improvement initiatives, including optimising processes and maintaining data integrity within the firm’s IP management systems, including DIAMS iQ where applicable.
Who We're Looking For
- Proven experience in IP records management, docketing or portfolio administration within a legal or specialist IP environment.
- Strong understanding of IP portfolio maintenance, deadline management and records governance processes.
- Experience using IP management systems; familiarity with DIAMS iQ would be advantageous but is not essential.
- Excellent organisational skills with strong attention to detail and the ability to manage large volumes of data accurately in a fast-paced environment.
- Confident communicator who can work collaboratively with fee earners, clients and wider business support teams.
