Your Mission
Provide Executive Assistant support to our leader for Activision International Marketing, based in our London Soho office. This high-profile role requires a highly organised EA who embraces our values and ideals.
Responsibilities
- Understand and anticipate the leader's needs and priorities to ensure daily operations run efficiently; review correspondence and arrange meetings locally and across time zones.
- Maintain sophisticated schedules with meticulous attention to detail, proactively reviewing calendars to anticipate and flag clashes and coordinate rescheduling.
- Handle domestic and international travel logistics.
- Manage all communications with confidentiality and accuracy, ensuring messages are redirected appropriately and tracked.
- Compile meeting follow-up and action items as required.
- Design and implement efficient office procedures in collaboration with the Operations Manager and Business Manager.
- Collaborate with other executives and manage relationships with external vendors and internal resources.
- Plan corporate events and team meetings, selecting venues, reviewing contracts, securing fair cost, food & beverage, audio/visual needs, and maintaining vendor relationships.
- Coordinate induction schedules for new employees and travel schedules for international executives visiting the office.
- Support ad-hoc assignments and ongoing projects requiring Word, PowerPoint, Excel or Visio.
- Process and pay expense reports using Oracle for the VP and Senior Leadership Team.
- Track budgets for travel, events, learning & development, donations and reconcile AMEX charges.
- Maintain organisational charts using Visio.
- Provide wider team support with ad-hoc requests such as office administration, events support and minute-taking.
Player Profile
- Extensive experience supporting Executive Level Leaders, preferably in a highly multifaceted entertainment environment or other high-touch, heavy-volume industry.
- Degree-level Education preferred (Business or Communications), though proven experience will be considered.
- Experience in travel and event management (both internal and external).
- Strong organisational skills, able to balance multiple tasks efficiently and with diligence.
- Proficient with Microsoft Office, especially Outlook, Excel, and PowerPoint.
- Go-getter attitude: ambitious, tenacious, a phenomenal teammate, and a strong support advocate.
