The HR Systems Analyst plays a central role in the effective delivery of HR operations globally. The role carries ownership and management of the HR and people-related systems assets across the group, ensuring platforms are accurately configured, fit for purpose, and well adopted across the organisation. It combines hands-on system administration with data stewardship, HR process coordination, and cross-functional support, including collaboration with the Delivery and Business Systems teams. It is well suited to someone highly organised, detail-oriented, and proactive, who takes pride in maintaining high data standards and helping teams work more efficiently.
Role Responsibilities
- HR Systems Ownership & Management
- You will be the primary owner and administrator of all HR-related systems globally, including but not limited to:
- HRIS (HiBob), core employee data, lifecycle management and configuration
- Applicant Tracking System (ATS). This is a system we are currently building and once operational will require ongoing management and configuration, with further implementation work in scope as the platform continues to mature
- LMS & LinkedIn Learning, compliance course administration, licence management and engagement reporting
- Corporate travel platform maintenance (Perk)
- Background screening platform, compliance monitoring and vendor liaison (Experian)
- You will ensure all systems are accurately configured to reflect current business needs and organisational structure
- Manage user access and permissions across all HR platforms, maintaining appropriate data controls and audit trails
- Lead systems training for HR team colleagues and the wider workforce to ensure compliant and effective platform use
- Monitor system performance and data quality; resolve discrepancies promptly and escalate to vendors where required
- Act as the point of contact for cross-system data reconciliation, ensuring consistency between the HRIS, payroll, and other people-related platforms
- Support HR technology projects including system upgrades, new implementations and configuration changes
- Own HR dashboards and people reporting, ensuring all KPIs are accurately maintained for Executive and Board-level analysis
- Produce regular KPI reports covering headcount, attrition, absenteeism, time-to-hire, onboarding completion, and learning engagement
- Provide ad hoc data analysis and insight to support the HR team and senior leadership on people-related matters
- Maintain data standards that support workforce planning, compliance reporting, and strategic people decisions
- Contribute to HR projects across the employee lifecycle, including system implementations, onboarding improvements and engagement initiatives
- Identify opportunities to streamline HR workflows, reduce manual administration, and improve system utilisation
- Maintain clear documentation of HR processes and system guidance to support consistency and knowledge transfer
- Ensure HR systems accurately and promptly reflect all people changes across the employment lifecycle, acting as the authoritative source of employee data
- Support the HR team with the maintenance and periodic review of global HR policies, templates and process documentation, contributing to compliance activities as required
- Contribute to wider generalist HR activity and people-focused projects as needed, in line with the evolving needs of the business
- Cross functional partnering with the Head of Business Systems and Head of Delivery Operations on people-focused projects and resource coordination activity
- Managing onboarding and offboarding administration across relevant business platforms, raising system access tickets, ensuring timely access changes, and maintaining data compliance
- Supporting capacity management processes as required
Personal Profile
The ideal candidate will bring a combination of the following:
- Previous experience in an HR operations, HR systems, or HR coordinator role, ideally within a technology, SaaS, or professional services environment
- Demonstrable experience administering HR systems such as HiBob (or a comparable HRIS/LMS), with the ability to configure platforms, manage data, and troubleshoot issues confidently
- Familiarity with the pace and structure of a scaling technology business, comfortable with ambiguity, evolving processes, and a high degree of self-direction
- Experience supporting employees across multiple geographies, with an understanding of the operational complexity this brings
- A track record of producing accurate HR reporting and KPI dashboards, using data to inform people decisions and support senior leadership
- Strong attention to detail and data hygiene, with a natural instinct to question inconsistencies and maintain system integrity
- Ideally holds, or is working towards, a recognised HR qualification such as the CIPD
