The Mobile Delivery Lead will be responsible for coordinating and ensuring the smooth, efficient, and cost-effective operation of ATTβs mobile-based national and international training events. You will coordinate logistics, scheduling documentation and communication to ensure each mobile delivery runs smoothly, on time, and within budget. The primary focus will be on European and US deliveries plus additional support for UK deliveries as required.
MAIN RESPONSIBILITIES (to include but not limited to)
- Logistics & Delivery Coordination: Plan and coordinate relevant logistics for mobile deliveries, including those led by ATT UK and ATT US teams. Work closely with the Commercial Department to coordinate mobile deliveries from initial enquiry to delivery date. Manage the co-ordination of costume, kit, learning materials and general equipment. Manage travel arrangements and required documentation for delivery teams. Liaise directly with clients, venues and suppliers to ensure smooth delivery.
- Budget & Administrative: Track travel budgets in partnership with our travel consultant, acting as a main point of contact. Support the Finance and Commercial Teams in preparing client proposals, by researching travel options and estimating expenses accurately tracking event-related expenses. Produce and issue booking documentation including travel, accommodation and event information. Input relevant delivery information into internal systems (Staff Savvy and Artifax). Track and authorise hours for freelance cast and crew working on mobile deliveries.
- Research & Compliance: Research visa requirements and travel regulations for upcoming deliveries. Liaise with venues for upcoming sessions.
- Cross-Departmental Support: Attend mobile deliveries (approximately monthly) to support delivery teams and maintain strong working relationships. Collaborate with other Mobile Delivery Leads to coordinate project activities, lead client meetings and take meeting notes. Provide general administration support to Delivery Team on new projects as required. Participate in the out of hours rota to support last minute operational changes.
THE IDEAL CANDIDATE WILL HAVE:
Essential Requirements: A degree-level or equivalent qualification or equivalent professional experience relevant to the role or industry. At least 3 years experience in event administration, arts administration, or live events. Excellent organisational skills, with strong attention to detail. Experience coordinating travel, accommodation and logistics for teams or events. Strong IT and administrative skills systems, with the ability to quickly learn and adapt to new software.
Desirable Requirements: Knowledge or experience of working with a large cohort of freelancers. Proficiency in European language(s).
Salary Range: Β£29,500 - Β£31,500 according to experience.
