Westcountry Case Management has an exciting opportunity for an Office Administrator to join us at our Westcountry Case Management Office in Teignmouth, Devon.
Main part of the role will be being a part of a team providing office support to a group of professionals. Assisting the existing staff with office and HR related administration; formatting reports, electronic filing, letters, updating spreadsheets and files, scanning and phone calls.
What you'll be working:
- Working 5 days a week, 37.5 hours per week - Hybrid working (to be discussed at interview)
- Monday to Friday
- Β£25,000 - Β£27,000 DOE
What you'll be doing:
- General typing as required, proof reading and formatting reports/letters.
- Using Excel spreadsheets to update information.
- Answering the telephone and taking messages or dealing with enquiries as able.
- Checking and dealing with email enquiries.
- General electronic filing.
- Organise and manage own time according to delegated workload.
- Maintain good working relationships with colleagues at all times.
- Taking and writing up of meeting minutes.
- Researching information for case managers.
- To attend meetings with Office Manager and office staff if necessary.
- Any other reasonable duties as may be required by the Director and Operations Manager.
What you'll have:
- Experience: Experience of working in administration and in an office environment (essential), Ability to follow instructions (essential)
- Knowledge: Must be proficient with keyboard and IT applications (essential), Working knowledge of Outlook, Word, Excel (essential), Knowledge of health care/legal business (desirable)
- Skills (all essential): Excellent organisational skills, ability to multi-task, Excellent oral and written communication skills and ability to professionally represent WCM, Ability to work under pressure and be flexible as part of a small team, Attention to detail and deadlines, Ability to filter information and assess priorities, Ability to develop and maintain good working relationships at all levels, Ability to prioritise and manage own workload amid conflicting demands and busy work periods, Ability to think ahead and anticipate needs before they arise, Ability to exercise discretion in dealing with confidential or sensitive matters, Confident and able to work on own initiative and with limited supervision
The post holder will fulfil a specific job but be expected to develop a good understanding of the roles within WCM Ltd and be able to confidently and competently cover for team members when they are absent. For example, the post holder may be asked to assist other team members with answering the telephone, dealing with queries and general administration. The post holder should expect, on occasion, that they will be required to work flexibly.
