Location: Dalston, London (5 Balls Pond Road, N1 4AX)
Hours: 14 hours per week (equivalent to 2 working days) – ideally Wednesday and Thursday.
Contract: 24 months fixed contract with potential for permanent contract thereafter.
Reports to: Executive Director.
Job Purpose: To keep our office functioning smoothly. This is a multi-faceted role working closely with two other members of staff. It is an opportunity for an organised self-starter who is interested in gaining experience in international development and the charitable sector.
Specific Responsibilities
- Office Management – oversee day-to-day running of the office, communicate with enquirers and supporters, ensure health and safety and data protection compliance, manage resources, IT and communication equipment, maintain office equipment, stationery and supplies, act as point of contact for landlord, manage petty cash, record financial expenditure and income, record donations, maintain electronic and physical records.
- Administrative Support to Fundraising Events – administer sponsorship fundraising events, register runners/riders/walkers, manage donation pages.
- Communications – design and distribute e-newsletter, upload information to website, maintain donor and members database, correspond with supporters and donors, produce and print leaflets and advertisements, manage all donations via various platforms, distribute mailings.
- Information Technology – maintain IT equipment, update anti-virus software, manage filing systems, liaise with website designer, manage email, telephone and broadband accounts.
- AVI Activities – manage office-based volunteers, book rooms and support committee meetings and events.
- General Responsibilities – abide by policies, support diversity and equality, keep confidential information, perform other duties as agreed.
Experience, Knowledge and Skills
- At least one year of office management and administration in a small company or voluntary/social impact sector.
- Experience in managing volunteers and liaising with stakeholders.
- Excellent communication skills face-to-face, on the phone and by email.
- Ability to work independently and develop systems.
- IT skills to support email, database, social media and basic Excel.
- Ability to stay focused and efficient with changing priorities.
