Key responsibilities

  • Events Marketing
    • Oversee the scheduling, production and distribution of promotional e-mails for events.
    • Liaise with the communications team to promote events across AvMA media platforms.
    • Develop the events pages on the new AvMA website and ensure they are kept up-to-date.
    • Carry out data analysis and web analytics to determine audience engagement and identify focus areas.
  • Events Logistics & Management
    • In conjunction with the Head of Events, undertake the production and organisation of events, including inviting and liaising with speakers and arranging logistics.
    • Ensure effective liaison with speakers, providing necessary information and deadlines for presentations and biographies.
    • Work on-site at events as required and manage smaller events independently.
    • Set up and administer registration, liaise with venues, greet speakers and exhibitors, handle delegate enquiries, and ensure smooth event operations.
    • Produce online conference documentation, including speaker presentations.
  • Research & Event Development
    • Identify and research potential subject areas for events.
    • Monitor the medico-legal events sector market and other relevant events.
    • Identify potential new sponsors and exhibitors for events.
  • Events CRM
    • Develop a sound understanding of AvMA’s new CRM to optimise it for efficient marketing of events.
    • Assist with bookings and booking queries for AvMA’s events as required.
  • Other
    • Support the Events Department’s quality initiatives and suggest improvements as needed.
    • Undertake other duties commensurate with the post as required.
    • Deputise for the Head of Events when necessary.

Person Specification

  • Essential
    • Understanding of and commitment to the values and objectives of AvMA.
    • Excellent interpersonal skills with the ability to develop effective working relationships.
    • Highly motivated self-starter with the ability to manage and prioritise workload and meet targets.
    • Excellent written and verbal communication skills; confident in liaising with speakers, sponsors, and delegates.
    • Experience in organising events and managing them on-site, including in-person and online events/webinars.
    • Marketing copywriting ability, proof-reading skills, and outstanding attention to detail.
    • Experience using e-mail marketing platforms (e.g. Dot Digital) and social media for event promotion and maintaining event web pages.
    • High level of IT and digital literacy skills, including Office 365, Microsoft Dynamics, and Adobe InDesign.
    • Ability to stay calm under pressure, with a proactive and solutions-focused approach to problem-solving.
    • Demonstrable commitment to Equality, Diversity, and Inclusion.
  • Desirable
    • Experience of working within a charity.
    • Experience in healthcare and legal sector events.
    • Knowledge or experience of healthcare, the NHS, or patient safety work.
    • Understanding/experience of Search Engine Optimisation.
