We are looking to hire a Senior Stores & QC Co-Ordinator on a full time, permanent basis. Based at our facility in Westhill, Aberdeen, the role provides day-to-day leadership within the Stores function, builds capability in the team, and drives continuous improvement to provide adequate service to the business and achieve agreed KPIs. The role is also responsible for performing and coordinating goods-in quality control (QC) inspections, ensuring that all materials and equipment meet the required specifications, documentation, and quality standards prior to acceptance, storage, or use.

The jobholder will represent Stores in audits and cross-functional reviews and is accountable for the timely closeout of actions arising from audits, variances, inspection findings, and operational issues, ensuring that the stores function is efficient, effective, compliant, and safe at all times.

Duties & Main Responsibilities

  • Lead the daily operations of the Stores function, ensuring safe, compliant, and efficient receipt, inspection, storage, picking, issuing, and despatch of inventory and equipment.
  • Organise and maintain the store layout to ensure easy access and safety. Promote good housekeeping in all areas including office, yard, and warehouse.
  • Maintain master data accuracy and ensuring timely put-away, pick/issue processing, and location control.
  • Dangerous Goods Packing and Compliance.
  • Ensure all stores transactions are documented, recorded, and stored in the appropriate area for audit and reporting purposes.
  • Ensure full traceability and data integrity across all transactions; identify and correct systemic issues.
  • Monitor and amend stock levels (max/min) and initiate reorders to prevent shortages or overstocking.
  • Perform goods-in QC inspection against Purchase orders, engineering specifications, drawings/datasheets, and certification requirements.
  • Verify and pack-check material certificates (EN10204/COC), test reports/inspection records, and marking/tagging/identification.
  • Authority to quarantine and halt the movement of non-conforming incoming items, unsafe, or unverified inventory until properly dispositioned.
  • Control release of materials – no items issued without QC acceptance.
  • Raise and support resolution of Non-Conformance Reports and Supplier quality issues.
  • Coordinate and manage consumable stocks and availability including consumable cupboards in workshops and warehouses.
  • Own the cycle count programme, including frequency definition, scheduling, variance investigations, and implementation of corrective/preventive actions.
  • Ensure Stores compliance with COSHH storage requirements and safe handling/return of hazardous materials.
  • Lead risk assessments, toolbox talks, and promote a strong safety culture.
  • Suggest and implement continuous improvement initiatives in stores and supply chain processes.
  • Support in the loading and unloading of deliveries in a safe manner using suitable lifting equipment e.g. manual handling, forklift truck, or crane.
  • Monitor and flag up slow moving stock identifying improvements on what is kept in Inventory.
  • Support in the collation and check on materials to be packed and shipped. Pack, weight, label & address all boxes as instructed prior to shipment.
  • Collaborate and communicate effectively with all departments.
  • Any other reasonable activities requested by the Supply Chain Manager in line with company policies and procedures.

Required

  • Minimum 5 years’ experience in Senior Stores Co-Ordinator and QC or similar role.
  • Stock control manual or software systems.
  • Goods-in QC inspection experience.
  • DG Goods packing awareness and training.
  • Ability to create and run an effective stores management system.
  • Understand stock control procedures.
  • Able to prioritise work in a fast-paced, changing environment.
  • Advanced Organisation skills.
  • Attention to detail and accurate record keeping.
  • Communicates clearly, concisely and leads by example.
  • An ability to work in a logical and methodical way.
