The Geo-Services Business Line works globally and specialises in marine surveys, site characterization, and digital solutions to optimize the design and installation of marine structures for the offshore wind, oil & gas and near shore sectors.
The Project Controls Admin is required to provide administrative and clerical support to the Project Control team, ensuring accurate tracking of project or departmental costs
Location: Aberdeen (hybrid working)
Role Description
β’ Run project cost plus report on a monthly basis and issue to Project Managers for confirmation on budget/billable costs
β’ Collate necessary backup for billable recharges and prepare summary sheet to pass onto the COE (Centre of Excellence) Accounts Receivable team for Invoice creation
β’ Liaising with project manager and the COE to ensure invoices are submitted timely; reconciling and monitoring any variances; liaising with client rep on any discrepancies or additional backup required
β’ Assist with preparation of Intercompany Invoicing
β’ Assist with the monthly Client Invoicing process
β’ Assist with the creation & maintenance of project resources/objects within the accounting system (Navision)
β’ Attend project meetings as required
β’ Assist the Project Controls team in tracking and monitoring project budgets, revenue, and forecasts.
β’ Assist in preparing periodic cost reports, variance analyses, and financial summaries.
β’ Coordinate with procurement, finance, and project teams to ensure accurate and timely recording of costs.
β’ Help identify discrepancies or issues in cost data and escalate to supervisors.
β’ Maintain organized and up-to-date documentation and filing systems (audit history)
β’ Provide administrative support such as scheduling meetings, preparing documents, and handling correspondence related to Project Control team.
β’ Support audit activities and provide requested documents as needed.
Requirements:
β’ High school diploma or equivalent
β’ Experience in a similar role is advantageous, but not essential
β’ Experienced/confident in using Outlook, Microsoft Word/Excel, and PowerPoint
β’ Basic understanding of budgeting and cost control principles
