Responsibilities include the following:
- Create intercompany technician´s order including the calculation for the offshore/onshore rate and the Mob/Demob Lumpsum.
- Create invoices for intern and extern.
- Arrangement of flights, hire cars, accommodation, and other travel for personnel:
- Coordinate the travel arrangements with the personnel and our travel agent by selecting the best offer and the best routes and book the travel according to ACTEON travel regulations.
- Pay attention to the internal travel regulations of 11 hours and stay up to date with the latest travel advice and restrictions, sharing updates with the wider team.
- Arrangement of visas and work permits for personnel:
- Correctly fill out the LOI applications with the right passports, send out the supporting documents and arrange the visa appointment.
- Generate travel instruction emails and the entry regulation to personnel prior to any mobilization/demobilization.
- Work together with the HSE Manager in creating the Travel Risk Assessment document before the personnel are mobilized.
- Send the travel email together with flight arrangement, hotel booking, transportation arrangement, travel risk assessment, International SOS report, visa and work permit.
- Update the IT program such as SharePoint and HRWorks in line with the latest changes:
- Upload documents in SharePoint when new passports and visas are received, update their validity and take care of travel requests in HRWorks before the personnel are mobilized, update the start and end-date based on the travel details.
- Crew Matrix and project registration assignment:
- Register the personnel into the client´s online system and upload the documents.
- Create the crew matrix for the project.
- Work Certificate assignment:
- Collect and verify the correctness of Work Certificates based on the personnel mobilization/demobilization date (their flight tickets).
- Communicate with personnel for clarification, revision, and follow-up on updated Work Certificates if needed.
- Actively join the Weekly Teams Meeting, such as Resource Planning Meeting and Crewing Meeting every week to discuss the project.
- Support emergency out of hours cover where required.
