The Executive Assistant will be a critical support for our Directors, enabling them to focus on strategic business growth by efficiently managing their time and ensuring seamless operations. This role is available for an immediate start on a temporary basis, with the potential to transition into a permanent position. This role demands an experienced, proactive, detail-oriented, and highly organised professional who can take full control of the Directors' emails, manage their complex diaries, and oversee their organisational needs with minimal input. The ideal candidate will enhance communication within the organisation and make informed decisions to significantly boost the Directors' effectiveness.
Job Requirements
- Over 5 years of experience in an Executive Assistant role.
- Exceptional organisational skills, with high attention to detail and commitment to accuracy.
- Expert diary and email management, including proficiency in managing complex schedules and responding on behalf of Directors.
- Proven reliability, being a team player, and committed to meeting task deadlines.
- Demonstrated contribution to company growth in previous roles.
- Strong delegation and follow-through abilities, ensuring tasks are completed efficiently and goals are achieved.
- Proactive and independent problem-solving abilities in dynamic or fast-paced settings.
- Strong written and verbal communication skills.
- Proficiency in various software applications and tools for document management, spreadsheets, and presentations.
- Experience with emerging AI tools to streamline tasks is a plus.
Job Responsibilities
- Assume complete responsibility of the schedules and communications for two ACT Directors.
- Monitor, filter, and respond to emails on behalf of Directors, ensuring timely and appropriate communication with independent decision-making.
- Anticipate Directors' needs and make informed decisions to optimise their time and productivity.
- Schedule, prepare for, and follow up on meetings, including taking minutes and tracking action items to completion.
- Coordinate calendars, arrange appointments, and provide support to Senior Managers, as required.
- Serve as a central point of contact between Directors and internal/external parties, maintaining professional and effective communication.
- Handle personal requirements of the Directors, including travel arrangements, personal appointments, and other logistical needs.
- Ensure activities are carried out in alignment with company goals and desired outcomes, track progress, and contribute to key objectives.
- Perform additional office duties as required to support the overall efficiency and effectiveness of the organisation.
23 Days Holidays (3 to be taken during the Christmas shutdown period). Birthday Leave – 1 day additional leave to be taken to celebrate your birthday.
