We have an exciting opportunity for a Medical Receptionist/Administrator to join a friendly and welcoming GP Surgery in Twickenham on a permanent basis.
The working hours are part-time (22 hours per week): Mondays to Thursdays 1:00 pm to 6:30 pm.
We ask that candidates are flexible to cover sickness and holiday where needed.
Previous reception/admin and/or customer service skills are desirable; training will be provided. Join our happy and dedicated team delivering quality care to a diverse population!
Main duties of the job
- Greeting and booking in patients for clinics.
- Dealing with patient enquiries efficiently and courteously.
- Receiving and recording telephone messages and taking appropriate action.
- Making appointments on EMIS, processing appointment requests for today and/or future appointments.
- Restoring the telephone service in the morning and checking for any messages.
- Dealing with all telephone queries/requests from patients, acting as liaison with the Doctors/Nurses as necessary.
- Pulling and filing medical records as necessary.
- Processing repeat prescriptions and filing for collection within 48 hours.
- Taking home visit requests.
- Processing emails effectively - answering patient requests or directing them to the relevant clinician.
- Processing post and online documentation - saving/sending to the relevant clinician.
- Actioning messages from the clinical team.

They are the main liaisons of a medical facility, interacting with patients and medical staff.
They act as mediators in communication.
A Medical Receptionist’s duties and responsibilities also include
Answering phones and forwarding calls to the appropriate party, or taking down messages for forwarding later
- Collecting patient information and providing it to relevant medical leads
- Tracking availability and preparing patients before their appointments
- Informing medical staff when a patient has arrived or is waiting
- Ensuring that each patient has the proper documentation and sign-in sheets
- Handling correspondence and file transfers
- Checking on medical staff throughout the day
Person Specification
Qualifications
- Excellent communication skills, verbal and written.
- Ability to negotiate, influence and manage conflict/disputes.
- Time management and ability to delegate.
- Able to work independently and as part of a team.
- Competence in use of computer systems and Microsoft Office.
- EMIS trained.
- Previous experience within a GP Practice.
- Disclosure and Barring Service Check
