Acorn by Synergie is recruiting an experienced Administrator to join our client's site in Pentwyn, Cardiff.

This is an excellent opportunity for an organised Administrator to join a busy team supporting a critical customer service operation.

As an Administrator, you will oversee and coordinate the end-to-end rapid replacement process, ensuring replacement units are dispatched efficiently to minimise customer downtime.

This role is ideal for an experienced Customer Service Administrator, Sales Administrator, Operations Administrator or Office Administrator looking to develop their career in a fast-paced environment.

  • Key Duties
  • Control the rapid replacement stock pool to ensure the availability of units.
  • Coordinate rapid replacement orders, ensuring same-day communication where possible.
  • Produce reports on rapid replacement stock levels.
  • Track the movement of replacement assets, including dispatch, returns, repairs and restocking.
  • Create and administer replacement orders using Salesforce and SAP.
  • Ensure correct order categorisation.
  • Validate all order data, including customer details and shipping information.
  • Maintain accurate records of transactions and asset tracking.
  • Liaise with Logistics and Service teams to prioritise urgent shipments where required.
  • Ensure inbound shipping documentation is accurate.
  • Coordinate the return of faulty units.
  • Provide clear and timely updates on order status, delivery timelines and returns.
  • Escalate delays, stock shortages or delivery failures where appropriate.

Requirements

  • Previous experience as an Administrator or within an administrative role.
  • Strong attention to detail.
  • Experience using CRM systems such as Salesforce or SAP.
  • Excellent organisational and time management skills in a fast-paced environment.
  • Strong communication and stakeholder management skills.
  • A proactive problem-solving approach with the ability to resolve urgent and critical requests.
  • Good Microsoft Office skills, particularly Excel.
  • Customer-focused approach.
  • Flexibility to undertake occasional business trips.
