We are currently recruiting for our client as a sole supplier who are seeking a proactive and highly organised Chief of Staff to provide dedicated support to the CEO. This is a full time permanent position. The company was set up to provide clean energy for a sustainable future. They provide an alternative to conventional solar, combining the lowest carbon, thin-film technology with a focus on elegant design to offer compelling clean energy solutions. Its an approach grounded in their dedication to new technology, doing things differently and providing outstanding customer service.

The ideal candidate will be a detail-oriented professional with excellent communication skills, capable of managing complex schedules, handling correspondence, and ensuring the smooth running of executive activities. You should have experience of working at pace, be quick thinking and an excellent communicator. The role will require a mix of remote and office-based work and may include joining the CEO on international travel for a number of days at a time. They currently work from a buzzing workspace near Waterloo, London where you will work three days a week, the other two days can be worked remotely. They are looking for an individual who is totally switched on, all in and focussed as they ramp up actioning a strong growth business plan. They are looking for someone who is straight forward to get on with, can demonstrate exceptional emotional intelligence and organisational skills and who thrives in a busy environment.

What you'll be doing:

  • Acting as trusted support to the CEO
  • Helping implement strategic priorities
  • Guiding operations in the recruitment of staff that are required for growth
  • Supporting with interviews for those roles as a screening process
  • Be gatekeeper to the CEO to protect time and task management
  • Act as a point of contact for the CEO's direct reports
  • Coordinate all incoming requests and work collaboratively with the Senior Leadership team to ensure the CEO's calendar is aligned with the priorities of the organisation and help navigate proper course of action
  • Create target and KPI templates
  • Attend a number of meetings with the CEO and take any actions from the meetings and ensure that they are actioned
  • Delegate actions to the other team members and chase and manage until the tasks are completed
  • Actioning any decisions made by the CEO and driving them through
  • Inbox management for CEO - Continually checking emails, proactively responding to queries on their behalf, flagging urgent emails, chasing actions/follow ups, pre-empting meetings to organise
  • Diary management for CEO with senior key clients, collaborators and investors
  • Proactively organising their extremely busy & challenging diaries where meetings change constantly and need to be aligned with various C-Suite third-parties - ensure meetings are confirmed and followed through
  • Oversee LinkedIn correspondence for CEO, including responding to messages, managing invitations
  • Meeting Preparation - Prepare agendas, presentations, materials, and briefings for meetings
  • Administrative Support - Handle confidential and sensitive information with discretion
  • Support the CFO in preparing the quarterly Board pack i.e. CEO summary
  • Attend Board meetings and record/prepare minutes and actions from Board Meetings and monitor those actions

What they are looking for:

  • Proven experience as either Chief of Staff, Senior HR Manager, Senior Operations Manager or Executive Assistant to the CEO of a large company (minimum of 5 years of experience)
  • A role familiar with delegating and monitoring a large number of responsibilities and tasks through many people
  • Advanced MS Office including Word, MS Outlook, Excel, PowerPoint, Teams and OneNote
  • Familiarity with LinkedIn and managing professional profiles
  • Good team player with a proactive attitude, positive and highly professional attitude, takes initiative and has ability to work without supervision
  • Strong verbal and written communication abilities
  • Exceptional organisational and time management skills
  • Ability to work calmly and efficiently in a pressurised environment
  • Strong integrity and confidentiality
  • High emotional intelligence - an acute ability to read the room
