Executive Assistant (CEO & Director Support)

Location: Wolverhampton (On-site, with hybrid working considered for exceptional candidates)

Salary: £27,942 pro rata

Hours: 30+ hours per week (flexible and open to negotiation)

Contract: Fixed-term until 30th June 2027, with potential for a permanent position

Working Pattern: Monday to Friday, with flexibility to attend occasional evening meetings

About the Role

We are recruiting on behalf of a highly respected youth-focused charity for an experienced Executive Assistant to provide high-level support to the Chief Executive Officer and Director of Fundraising & Communications during a period of organisational change.

This is a pivotal role designed to ensure senior leaders can focus on strategic priorities, partnerships, fundraising activity, and organisational growth. The successful candidate will act as a trusted support partner, bringing structure, organisation, and efficiency to a fast-paced environment.

Key ResponsibilitiesExecutive & Leadership Support

  • Provide comprehensive day-to-day support to the CEO and Director of Fundraising & Communications.
  • Manage complex diaries, schedules, and inboxes, ensuring effective prioritisation of time and commitments.
  • Coordinate meetings, prepare agendas, circulate papers, and monitor actions.
  • Support communication and information flow across the Senior Leadership Team.

Organisational Coordination

  • Maintain oversight of key organisational priorities, projects, deadlines, and action plans.
  • Track progress across strategic and operational initiatives.
  • Help senior leaders manage competing priorities and remain focused on key objectives.
  • Ensure tasks and projects are delivered efficiently and on schedule.

Governance & Board Support

  • Coordinate Board and Committee meetings, including all related administration.
  • Prepare meeting packs, reports, presentations, and supporting documentation.
  • Attend meetings when required, including occasional evening sessions.
  • Record actions and decisions, ensuring timely follow-up and communication with Trustees.

Administration & Operations

  • Maintain accurate records, filing systems, and document management processes.
  • Support the planning and logistics of meetings, events, visits, and organisational activities.
  • Assist with recruitment coordination, onboarding, training administration, policy updates, and employee communications.
  • Support initiatives relating to employee engagement, wellbeing, learning and development, and organisational culture.
  • Provide administrative support that enables leaders to focus on strategic priorities.

Communications & Stakeholder Management

  • Draft, edit, and format professional communications, reports, presentations, and correspondence.
  • Act as a professional first point of contact for internal and external stakeholders where appropriate.
  • Ensure clear, consistent, and timely communication across the organisation.
  • Handle sensitive and confidential information with discretion and professionalism.

Fundraising & Communications Support

  • Assist with the coordination of fundraising campaigns, events, and communications activity.
  • Support donor and partner administration, reporting, and follow-up actions.
  • Help ensure fundraising and communications priorities are effectively planned and organised.

About YouEssential Requirements

  • Previous experience as an Executive Assistant, Personal Assistant, or Senior Administrator.
  • Experience supporting senior executives or leadership teams within a complex environment.
  • Excellent diary management, organisational, and prioritisation skills.
  • Strong written and verbal communication skills.
  • High levels of professionalism, discretion, and attention to detail.
  • Experience supporting governance processes, board meetings, or senior committees.

Desirable

  • Experience within the charity, non-profit, public sector, or youth services environment.
  • Exposure to fundraising, partnerships, communications, or stakeholder engagement activities.

Skills & Competencies

  • Exceptional organisational and time-management skills.
  • Ability to anticipate needs and work proactively.
  • Strong interpersonal and relationship-building abilities.
  • Comfortable managing multiple priorities independently.
  • Excellent attention to detail and problem-solving skills.
