Job Overview:
The Billing Site Supervisor, under the supervision of the Billing Manager and Director of Finance & Billing, will supervise the Billing Department including billing related tasks, processes, and procedures to ensure smooth financial operations for our internal billing team. This includes, but is not limited to, team member training, team member morale, reinforcing positive interactions and communications, setting up team members for success, claims processing, revenue monitoring, and quality improvement initiatives. The Billing Site Supervisor will work cooperatively with other Managers, Supervisors, Administration, and Medical Directors, to ensure timely billing, reporting, and patient account management.

Essential Responsibilities (not all inclusive):

  • Execute good judgement and decision making while considering cash flow requirements, to ensure cash flow remains consistent and is not disrupted.
  • Supervise the Billing Specialists day to day, oversee tasks and overall performance, communication, productivity, and morale, to ensure accurate and efficient RCM processes.
  • Empower team members to work well together as a team, appreciate differences, listen to other’s ideas and recommendations.
  • Foster a continuous improvement culture, encourage open communication and new ideas.
  • Review potential Billing Team candidates, screen, interview, and communicate recommendations to Billing Manager and Director of Finance & Billing accordingly.
  • Perform fundamental onboarding for new Billing Specialists to ensure full understanding of tasks, duties, and expectations. Ensure training is documented and checklists are completed. This includes setting up portals, emails, and reviewing basic system knowledge, prior to reviewing specific tasks in depth.
  • Train, retrain, evaluate, and initiate disciplinary action for supervised employees, with the approval of the Billing Manager and Director of Billing & Finance.
  • Provide support to AUC patients and the internal billing team by answering a minimum of 10% of patient billing calls during work hours, especially during lunch time.
  • Work with Billing Manager to develop, implement, and maintain revenue cycle standard operating procedures (SOPs).
  • Ensure employees report to work on time and clock in/out as necessary.
  • Provide support to the Front Office staff on billing issues, data entry, improvement opportunities, and best practices.
  • Under Billing Manager’s direction, maintain and track various performance measures.
  • Conduct specific audits to discern billing patterns and trends, identify performance improvement opportunities and communicate findings to Billing Manager and Director of Billing & Finance.
  • Work with Billing Manager and Billing Specialists to ensure clean claims, timely filing requirements, maximize billing revenue and collections, and resolution of denied/rejected claims.
  • Under the Billing Managers direction, identify and delegate tasks to Billing Specialists as they arise to minimize disruptions in revenue and the overall workings of the Billing Department.
  • Monitor A/R aging and payment reports monthly to identify trends and underpayments; investigate causes and take appropriate steps toward resolution using professional judgement.
  • Handle elevated complaints from the staff or patients, escalate to the Billing Manager or the Director of Billing & Finance if necessary.
  • Provide the highest level of customer care to all patients.
  • Provide technical expertise to ensure accurate billing.
  • Perform special projects and other duties as requested.
  • Comply with departmental policies and procedures.
  • Being available to all team members, Billing Manager, and Director of Billing & Finance during work hours.
  • Provide personal commitment and ownership to enhance knowledge, skills, and abilities in healthcare billing, collecting, and compliance.
  • Maintain patient confidentiality and information security, adhere to all HIPAA regulations and requirements.
  • Follow and adhere to CDC requirements for healthcare facilities.

Minimum Requirements | Qualification:

  • High school diploma or equivalent.
  • A minimum of 5+ years’ experience in direct medical billing (preferably urgent care), preferably with supervisory responsibilities.
  • Medical Billing Certificate (preferred).
