The Venue Administrator is an integral position within the team, helping provide seamless and exceptional customer and client services by acting as the first point of contact for all visitors, guests, and contractors. You will contribute to the effective running of our core business objectives and commercial targets and must be highly motivated to deliver an outstanding experience to all clients and customers.

Day‑to‑day, the role entails greeting and welcoming visitors in a warm and professional manner, as well as managing the reception area and stage door on event days, ensuring it is always kept tidy and presentable. You will also answer and direct phone calls, emails, and enquiries promptly and accurately to relevant team members, as well as addressing and resolving basic customer enquiries with a professional and courteous approach.

You will also be responsible for various administrative duties, including distributing post, monitoring office supplies, managing lost property, and maintaining and updating venue records, databases, and contact lists. The Venue Administrator must be friendly and approachable, with a positive attitude and high level of integrity and professionalism. Candidates must be able to work both independently and as part of a wider team. The role will require you to work flexible hours, including some evenings and weekends during busy season.

The role can vary with the high and low seasons, so the ideal candidate should be able to work effectively in a high‑pressure environment, to multitask, and be able to keep themselves busy during quiet periods.   • Reception or administrative experience (desirable)

What The Role Includes

  • To be main point of contact for permanent, visiting staff and contractors
  • To greet visitors including artist and touring teams in a friendly and professional manner and inform the relevant people of their arrival as quickly as possible
  • To remain knowledgeable about events scheduled to take place within the venue and to provide accurate information to customers when requested
  • Manage the general mail inbox and phone line: proactively respond to customer queries and complaints, elevate venue queries to relevant departments
  • When required assist with the accessible booking inbox and customer phone line: proactively administer all accessible ticketing requirements and communications
  • Working shows supervising the stage door operation & accreditation to ensure a smooth and efficient backstage
  • When required working shows to help supervise the box office and scanning department or VIP packages to maintain a smooth and efficient operation
  • To organise, distribute and process post and deliveries, including post office runs
  • To ensure front office areas are kept presentable, facilities are stocked, and Health and Safety procedures are adhered to
  • To log and organise lost property after shows and maintain records, coordinate collection, postage, and disposal of lost property
  • To assist the team with tasks such as fielding and logging staff guest list requests, distributing monthly phone and email list updates, courier bookings, etc
  • Supervise and assist in training casual employees
  • Represent the venue and Company in a professional manner
  • Other ad hoc duties when required
