We are currently seeking a Bid Administrator to join our team on a full-time maternity cover basis. This is a fast-paced and varied role, supporting the bid team in managing multiple live tenders each week. The successful candidate will play a key role in coordinating documentation, communication, and schedules to ensure high-quality and timely submissions. Strong organisational skills, attention to detail, and the ability to work under pressure are essential for this role.
Key Responsibilities:- Manage the tenders inbox and all incoming communications
- Handle portal correspondence (e.g. RFIs, deadline extensions, updates, missing documents)
- Maintain portal passwords and internal documentation
- Keep company master information and team trackers up to date
- Raise and manage quotes, updating statuses (Won/Lost/Cancelled)
- Update trackers with pricing, submission details, and key dates
- Schedule adjudications and arrange site visits for estimators
- Maintain and update the tender tracker (values, probabilities, feedback, etc.)
- Ensure portals are updated with company details and accreditations
- Take and distribute Bid/No Bid meeting minutes
- Manage tender documentation, including version control
- Download and distribute clarifications and updated tender documents
- Identify and download new tender opportunities
- Complete Expressions of Interest (EOIs)
- Complete tender questionnaires (ITTs, PQQs, RFQs, etc.)
- Prepare and submit tender documents (forms, declarations, certificates)
- Submit Stage 1 tenders where required
- Provide weekly submission updates
- Chase outstanding tender outcomes and update internal records
- Previous experience in a similar administrative or bid support role preferred
- Strong organisational and time management skills
- Excellent attention to detail
- Ability to work to tight deadlines and manage multiple tasks
- Good communication skills
- Confident using Microsoft Office and online portals
