We are seeking a highly organised and experienced Facilities Administrator to oversee the maintenance, management, and operational efficiency of our facilities. The ideal candidate will possess strong management skills, technical knowledge, and leadership qualities to ensure the smooth running of our premises. This role involves supervising maintenance activities, coordinating projects, and ensuring compliance with safety standards. The Facilities Administrator will play a key role in maintaining a safe, functional, and efficient environment for all staff and visitors.
Working hours: Monday to Friday 8am-4:30pm
Salary: £13.30 per hour
Support the management of all hard FM services, including:- Electrical systems
- HVAC and air conditioning
- Fire detection and suppression systems
- Building fabric and infrastructure
- Plumbing and drainage
- Mechanical plant and equipment
- Security systems and access control
- Utilities and energy management
- Coordinate Planned Preventative Maintenance (PPM) schedules.
- Ensure reactive maintenance issues are logged, tracked and completed promptly.
- Maintain the facilities maintenance planner and asset register.
- Support statutory inspections and maintain compliance documentation.
- Assist with facilities improvement projects and minor capital works.
- Identify recurring issues and recommend permanent solutions.
- Coordinate the delivery of all soft FM services including:
- Site security (managed by an external security provider)
- Cleaning services (managed by an external cleaning contractor)
- Waste management
- Pest control
- Grounds maintenance (where applicable)
- Coordinate external contractors working on site.
- Issue and manage permits to work.
- Ensure safe systems of work are followed.
- Verify contractor RAMS before work begins.
- Monitor contractor performance against KPIs and SLAs.
- Support contract reviews and identify improvement opportunities.
- Support compliance with statutory building inspections.
- Maintain facilities compliance documentation.
- Assist with audits and corrective action plans.
- Support emergency preparedness and business continuity activities.
- Ensure facilities activities comply with company Health & Safety procedures.
- Raise purchase orders where required.
- Obtain quotations from suppliers.
- Maintain facilities records and documentation.
- Update asset registers.
- Produce weekly and monthly facilities reports.
- Monitor facilities expenditure and identify cost-saving opportunities.
- Previous experience within Facilities Management.
- Good understanding of building services and maintenance.
- Experience coordinating contractors.
- Knowledge of Health & Safety legislation.
- Good organisational skills.
- Ability to prioritise workload.
- Experience within logistics, warehousing or manufacturing.
- IOSH Managing Safely or equivalent.
- Experience using a CMMS or maintenance management system.
- Knowledge of statutory compliance requirements.
- Experience managing cleaning or security contracts.
