Abrey Private Clients is continuing to grow its Adviser numbers and wishes to support this growth by seeking a highly competent and conscientious individual with good interpersonal and technology skills, who can integrate within the expanding team, supporting the Senior Practice Manager.

This pathway is entirely separate from financial advisory roles and does not provide training or progression towards becoming a Financial Adviser.

Instead, it offers a pathway for continued professional development within administration, enabling individuals to expand their skills, take on increased responsibilities and progress into more senior administrative, operational and business support roles.

We are looking for an administrator who will work closely with the Senior Practice Administrator and Financial Advisers to oversee the operations of a successful Vouched For ‘Top Rated Adviser’ Practice, based in St.

James’s Place’s office in The City.

The role is hybrid working with a mix of working both at home and in the office.

Building a cohesive team is critical to the appointment, and prior experience would be beneficial.

Currently, the Practice advises clients with more than £116 million funds under management and is seeking to grow the Practice to more than £200 million within the next 3 years.

  • Role Purpose
  • To support the Practice and the Senior Practice Manager, as well as Advisers (Investing, Mortgages & Protection) in case management, by effectively co-ordinating the Administrative processes
  • To help refine and improve the Administration processes; developing your knowledge and technical skills
  • To focus on enhancing the efficiency and effectiveness, along with profitability of the Practice as we grow to be a leading Practice in the City Location.
  • Monitoring changes to SJP processes, key documents and liaising with paraplanners (internal and external), to ensure timely completion to obtain ‘first-time suitable’ advice ratings.
  • Key is focus on efficiency and enhancing the service and offering to the Practice’s clients, as well as to the Financial Advisers
  • Key duties and responsibilities
  • Team
  • To actively contribute to team meetings, with regular and ad-hoc meetings with Advisers and Managing Partner
  • To complete tasks as part of the Administrative Team, to ensure effective and efficient processes are enhanced
  • Manage the diaries of and liaise directly with Advisers
  • Ensure meeting packs are available for timely review and in formats required in advance of client meetings
  • Ensure Post Meeting actions are noted, agreed and actioned
  • May periodically attend client meetings with Advisers.
  • Client focus
  • To arrange meetings with clients and prospective clients and to confirm key matters they wish to discuss, as well as format of the meeting
  • Ensure timely preparation of meeting packs to enable Advisers to review and add necessary details relevant to clients, including updating cash-flow models and considering wider client needs and objectives.
  • To communicate to and with High Net Worth Clients, and keeping client facing and administration team informed of issues and necessary actions to exceed client expectations
  • Provide regular reporting to clients
  • Log all client contacts on Salesforce client administration system
  • Liaise directly with financial advisers and paraplanners on cases when required
  • Effectively track, monitor and, where appropriate, chase Advisers, SJP Admin, third-party providers and clients
  • Execute Fund Switches and Withdrawal requests, after liaison with Advisers, as well as submitting business applications
  • Effective Processes
  • To support the Senior Practice Manager with administration tasks and effectively track and monitor processes, seeking to build upon these to enhance them
  • Marketing
  • To work closely with Managing Partner and Client Facing Team to develop and execute a Marketing / Client Acquisition strategy:

Experience and skills

  • SJP products
  • Knowledge of Financial / SJP products and services will be useful (not required), though training will be provided
  • Salesforce - Client Relationship Management (CRM) System
  • Familiarity with the use and operation of client relationship systems
  • Experience is beneficial - training will be provided
  • Voyant - Cashflow Tool
  • Experience is beneficial - training will be provided
  • SJP PSS Qualifications
  • Having completed SJP PSS Qualifications will be an advantage
  • Beneficial to have experience of preparing basic draft Advice Letters, using a tool/template, to be reviewed and amended by Advisers. Training will be provided.
