ROLE OVERVIEW AND PURPOSE
The Recruitment Administrator is responsible for driving end-to-end recruitment operations, ensuring a seamless, efficient, and high-quality hiring experience for both candidates and hiring managers. The role oversees job advertising, candidate pipeline management, recruitment reporting, compliance and coordination across multiple stakeholders, ensuring consistency and control across the full recruitment lifecycle. A key focus of the role is the effective management and optimisation of recruitment data, including pipeline metrics, time-to-hire, time-to-fill, source effectiveness and conversion rates. The role is responsible for maintaining accurate recruitment dashboards and reporting, providing insights to support workforce planning, identify bottlenecks and drive continuous improvement. The role requires a highly organised and proactive individual who can manage high-volume recruitment activity while maintaining exceptional service standards. Strong attention to detail, data accuracy, and process governance is critical to ensuring operational efficiency, compliance and informed decision-making across the recruitment function.
KEY RESPONSIBILITIES
- Manage job postings across job boards, careers pages and internal platforms
- Coordinate advertising of open roles, ensuring consistency in employer branding
- Maintain accurate candidate trackers, pipelines and recruitment dashboards
- Manage the recruitment inbox and act as the first point of contact for recruitment-related queries
- Coordinate interview scheduling and support hiring managers throughout the recruitment process
- Manage referral submissions and ensure timely follow-ups with candidates and stakeholders
- Deliver HR-specific training sessions to the workforce, including onboarding, recruitment processes and HR policy awareness, ensuring consistent understanding and compliance across teams
- Support onboarding coordination in partnership with HR and hiring teams
- Conduct regular audits of recruitment processes, systems, and documentation
- Produce weekly and monthly recruitment reports for senior stakeholders
- Track recruitment KPIs, pipeline health, and hiring progress
- Analyse recruitment data to provide actionable insights
- Maintain accurate records of recruitment activity and performance metrics
- Ensure adherence to internal recruitment policies and procedures
- Maintain compliance with external regulatory requirements
- Monitor recruitment processes to ensure consistency and best practice
- Support continuous improvement of recruitment workflows and controls
- Act as a key point of contact for candidates, hiring managers and external partners
- Build strong relationships with internal stakeholders across departments
- Collaborate with HR, Finance and operational teams to ensure smooth recruitment delivery
- Provide guidance and support to hiring managers across the full recruitment lifecycle
- Support delivery of recruitment events, job fairs, and campus initiatives
- Contribute to broader HR and recruitment continuous improvement initiatives
REQUIRED SKILLS AND EXPERIENCE
- Proven experience in recruitment coordination, talent acquisition, or HR operations
- Strong organisational and multitasking skills with the ability to manage high-volume workloads in a fast-paced environment
- Excellent communication and stakeholder management skills, with the ability to engage and influence hiring managers
- Proficiency with applicant tracking systems (ATS), job boards, and MS Office tools
- Strong attention to detail and accuracy in reporting, data management, and documentation
- Experience managing end-to-end recruitment processes, including interview coordination and pipeline tracking
- Ability to work with recruitment data, including maintaining trackers, producing reports, and identifying basic trends
- Proactive approach to problem-solving with a focus on improving processes and candidate experience
DESIRABLE
- Knowledge of recruitment compliance, right-to-work requirements, and best practices
- Experience analysing recruitment data (e.g. time-to-hire, pipeline conversion, source effectiveness) and providing insights
- Experience working in a multi-site or operational environment
