LOCATION: Pier Walk, London

SHIFT PATTERN: Monday to Friday, 8am to 5pm, 40 hours per week

ROLE OVERVIEW AND PURPOSE

The CAFM Analyst is responsible for administering, developing, and maintaining accurate data within the Computer Aided Facilities Management (CAFM) system across a portfolio of Mechanical & Electrical (M&E) contracts. The role ensures the integrity of asset data, effective Planned Preventive Maintenance (PPM) scheduling, compliance tracking, and high-quality management information (MI) reporting. It supports operational performance, statutory compliance, and strategic decision-making through reliable data insights and system optimisation.

KEY RESPONSIBILITIES

  • Asset & Data Management
    • Upload, validate, and maintain asset registers within the CAFM system.
    • Ensure all asset data is accurate, complete, and contract compliant.
    • Maintain asset hierarchies, locations, attributes, and statutory classifications.
    • Manage bulk data imports and undertake data cleansing activities.
    • Support mobilisation and demobilisation activities from a CAFM perspective.
  • Planned Preventive Maintenance (PPM) Scheduling
    • Build and maintain PPM schedules in line with statutory, SFG20, and contractual requirements.
    • Configure maintenance frequencies and adjust schedules based on operational changes or asset updates.
    • Monitor PPM compliance and escalate risks to contract management.
    • Support lifecycle planning using asset condition and maintenance data.
  • Compliance & Performance Monitoring
    • Track statutory compliance across M&E assets.
    • Produce compliance reports highlighting risks, gaps, and overdue tasks.
    • Support audit preparation and evidence collation.
    • Identify and recommend improvements to data quality or system performance.
  • Management Information & Reporting
    • Develop and maintain dashboard and MI reports.
    • Produce weekly and monthly performance reports for stakeholders.
    • Analyse trends in reactive works, PPM performance, asset failures, and contractor output.
    • Translate data outputs into meaningful insights.
    • Support KPI reporting aligned with contractual SLAs.
  • System Development & Continuous Improvement
    • Improve CAFM processes and data integrity.
    • Identify automation and reporting efficiencies.
    • Support system upgrades, testing, and configuration changes.
    • Provide end‑user support and guidance on CAFM processes.

REQUIRED SKILLS AND EXPERIENCE

  • Essential
    • Strong communication and stakeholder engagement skills.
    • Experience working with recognised CAFM systems.
    • Strong understanding of M&E assets and maintenance regimes.
    • Experience building and managing PPM schedules.
    • Advanced Excel skills including pivot tables and lookups.
    • Experience producing MI and dashboard reporting.
    • High attention to detail and data accuracy.
    • Ability to interpret complex data sets and present findings clearly.
  • Desirable
    • Knowledge of SFG20 maintenance standards.
    • Experience with Power BI or similar tools.
    • Understanding statutory FM compliance.
    • Experience supporting contract mobilisation.
    • Degree or equivalent in FM, Engineering, Data Analytics, or similar.
