LOCATION: Heathrow
WORKING HOURS: 40 hours per week, Monday - Friday

ROLE OVERVIEW AND PURPOSE
The Business Support Executive provides administrative, procurement, and operational support to the Heathrow contract, ensuring the effective management of uniforms, operational equipment, suppliers, purchasing processes, and business administration activities.
Working within a fast-paced operational environment, the role supports leaders and frontline teams by maintaining stock availability, coordinating suppliers, managing purchasing and invoicing processes, and ensuring the smooth delivery of day-to-day business support activities.
The role requires excellent organisational skills, attention to detail, strong stakeholder management, and the ability to manage multiple priorities while supporting operational performance and compliance requirements.
KEY RESPONSIBILITIES
Procurement & Supplier Management
- Raise purchase requisitions and purchase orders in accordance with company procedures.
- Track purchase orders through to completion, ensuring timely delivery of goods and services.
- Liaise with suppliers regarding orders, deliveries, pricing, and outstanding documentation.
- Support the identification, onboarding, and management of suppliers in partnership with Procurement.
- Maintain purchasing records and supplier information.
- Assist with cost control and budget tracking activities.
- Validate supplier invoices against purchase orders and receipts before submission for payment.
Uniform & Stock Management
- Manage the ordering, receipt, storage, and distribution of employee uniforms.
- Maintain accurate records of uniform allocation and stock levels.
- Monitor uniform usage and forecast future requirements.
- Ensure adequate stock levels of operational consumables and office supplies.
- Conduct periodic stock checks and investigate discrepancies.
Operational Equipment Management
- Coordinate the ordering, deployment, tracking, and replacement of PRM operational equipment.
- Maintain equipment records and asset registers.
- Arrange equipment servicing, maintenance, repairs, and replacements with suppliers and contractors.
- Monitor equipment availability and escalate shortages or operational risks.
- Support the management of PDA devices and other operational technology.
Contract & Administrative Support
- Provide day-to-day administrative support to the Heathrow contract leadership team.
- Prepare reports, presentations, spreadsheets, communications, and business documents.
- Manage filing systems and maintain operational records.
- Coordinate meetings, prepare agendas, capture actions, and distribute minutes.
- Support governance meetings and contract reporting requirements.
- Maintain records relating to equipment, suppliers, purchasing, and operational activities.
Employee & Stakeholder Support
- Support onboarding activities for new employees, including uniform, equipment, and administrative requirements.
- Assist employees with business support queries.
- Coordinate communications and briefing materials.
- Liaise with operational teams, suppliers, customers, airport stakeholders, and contractors to ensure service continuity.
Events & Logistics Coordination
- Coordinate materials, resources, and logistics for contract events, training sessions, inductions, roadshows, and engagement activities.
- Manage the ordering and distribution of promotional and event-related materials.
- Support the delivery of employee engagement and customer-facing initiatives.
Safety, Quality & Compliance
- Maintain accurate records to support audit, compliance, and contractual requirements.
- Ensure purchasing, equipment, and supplier processes comply with company policies.
- Support operational compliance through effective record keeping and administration.
- Promote a safe, compliant, and professional working environment.
Requirements
- Previous experience in an office administration, business support or similar role.
- Strong organisational and time-management skills.
- Excellent attention to detail and accuracy.
- Good written and verbal communication skills.
- Strong working knowledge of Microsoft Office, particularly Word, Excel, Outlook and Teams.
- Ability to work effectively both independently and as part of a team.
