One You Kent is Kent’s free, countywide lifestyle and wellbeing service, supporting adults to make positive, sustainable changes to improve their health and reduce the risk of long-term conditions. The service provides evidence-based support including smoking cessation (whole of Kent), weight management, physical activity and healthy lifestyle interventions (East Kent only), delivered through a strengths-based, person-centred approach. Working closely with GP practices, Primary Care Networks, local authorities and community and voluntary sector partners, One You Kent is embedded within local communities to ensure support is accessible, inclusive and responsive to local need. The service plays a key role in reducing health inequalities across Kent through partnership working, community engagement and flexible delivery models.

The Single Point of Access Administrator plays a vital role in the smooth and effective operation of One You Kent by acting as a central administrative and contact function for the service.

You will support the SPOA team by managing referrals, handling enquiries, maintaining accurate records, booking appointments, and ensuring clients and professionals receive a timely, professional, and person-centred response. The role is key to ensuring performance targets, data quality standards, and contractual timescales are consistently met.

Key Duties and Responsibilities:

  • Act as a first point of contact for One You Kent, providing professional and empathetic support to service users and referring professionals via telephone, email, and digital referral systems.
  • Receive, process, triage, and allocate referrals accurately and within agreed timescales across the appropriate pathways and West and North Kent providers, while maintaining clear and effective communication throughout the client journey.
  • Update and maintain accurate client records on service databases, manage confidential information in line with GDPR and information governance requirements, and prepare correspondence including letters, emails, and appointment communications.
  • Book, amend, and cancel appointments, respond to client queries regarding service access and pathways, and ensure all activity and outcomes are accurately recorded to support reporting and performance management.
  • Work closely with the SPOA Lead and wider service teams to support service flow and capacity management, assist with workload monitoring and performance checks, contribute to reports, spreadsheets, and meeting preparation, and provide flexible administrative support across the team, including cover during periods of annual leave or sickness.
  • Work in line with service policies, procedures, and contractual requirements, contribute to continuous improvement initiatives, and support audits, data quality checks, and service reviews to maintain high standards of service delivery.
