A well-established international organisation is seeking a Senior Administration Officer to support the smooth day-to-day running of its London office. This is a varied and hands-on position covering office operations, facilities coordination, supplier management, budgeting support, purchasing, records management, and internal administrative services.

Salary: up to £40,000

Key Responsibilities

  • Support the daily operations of the Administration function across the business
  • Manage petty cash, monitor expenditure, process invoices and maintain accurate records
  • Check invoices carefully to avoid duplicate payments and ensure compliance
  • Order and control office supplies, stationery and refreshments
  • Review supplier pricing regularly and maintain supplier databases
  • Coordinate office maintenance works, obtain quotations and liaise with contractors
  • Monitor service standards from outsourced office support providers
  • Maintain employee contact records and assist with ID / access card requests
  • Oversee archiving systems, document storage and retrieval processes
  • Maintain inventory and fixed asset registers in line with company policy
  • Assist with budgets, expenditure tracking and reporting
  • Provide general office administration including meetings, agendas, filing and reception cover when required
  • Support IT-related coordination projects, systems implementation and internal digital tools where needed

Requirement

  • 3–5+ years’ administration, office management or operations experience
  • Previous experience in a corporate or international business environment preferred
  • Strong numeracy skills with confidence handling invoices, costs and budgets
  • Excellent attention to detail and highly organised approach
  • Good supplier management and purchasing experience
  • Strong Microsoft Office skills, especially Word, Excel and Outlook
  • Able to prioritise workload and work independently
  • Practical problem-solver with a proactive mindset
