To own and deliver the day‑to‑day operational running of the business, ensuring that systems, processes, people, and administration function efficiently and consistently. This role exists to free the Managing Director from operational workload, enabling greater focus on strategy, growth, and leadership. The Operations Manager will act as the central coordination point across HR, IT, finance administration, and internal processes - ensuring that the business runs smoothly and reliably.
Key Responsibilities for an Operations Manager
- People & HR Operations
- Manage and maintain job descriptions and employment contracts
- Coordinate and deliver recruitment processes (advertising, scheduling, candidate coordination)
- Lead onboarding and induction for new team members
- Support team organisation and resource planning
- Manage day‑to‑day line management processes (check-ins, coordination, issue resolution)
- Coordinate team activities (away days, gifts, engagement)
- Ensure operational cover during holidays
- IT & Systems Coordination
- Act as the primary liaison with IT providers
- Identify and coordinate IT requirements and improvements
- Oversee hardware setup and management for team members
- Monitor and escalate security issues (in partnership with IT)
- Communicate IT processes and updates to the team
- Support and oversee CRM and system usage
- Finance Operations (Non‑Strategic)
- Manage day‑to‑day financial administration: Payments, banking, invoices, transfers
- Expenses tracking and processing
- Administer and maintain payment platforms and provider systems
- Liaise with the fractional Finance Director and accountants
- Prepare and organise financial data and reports
- Operational Planning & Execution Support
- Support implementation of Business plans, Operational targets, Internal projects
- Track and monitor progress against plans
- Coordinate internal projects (e.g. systems, training, process improvements)
- Maintain oversight of operational risks and issues, escalating where needed
- Systems, Process & Business Infrastructure
- Continuously improve internal systems and workflows
- Maintain and optimise use of CRM, Operational tools, Internal processes
- Ensure consistency, clarity, and efficiency across business operations
- Identify opportunities to reduce inefficiencies and improve scalability
Skills & Experience Required for an Operations Manager
- Strong operations or business management experience (preferably a micro/SME)
- Professional services background – desirable
- Has an entrepreneurial and innovative mindset
- Financially literate and technologically confident
- Strong people skills and people management skills (even while remote)
