Main duties of the job:
- Manage incoming calls through the Nottinghamshire Single Point of Access, directing enquiries and ensuring messages are handled efficiently.
- Provide high‑quality administrative support, including clerical tasks, correspondence, filing, appointment scheduling and maintaining accurate client records in databases and on paper.
- Process healthcare referrals promptly within agreed timescales, record client data accurately, produce reports and documents, and use IT systems such as Excel, Word and in‑house databases.
- Work closely with Service Leads to source appropriate venues within budgets, monitor workloads and service targets, take and distribute meeting minutes, and provide general admin support as required.
- Support behaviour‑change initiatives by engaging with clients, coordinating Nicotine Replacement Therapy (NRT) requests, and carrying out regular stock audits and temperature checks for safe storage and compliance.
- Offer flexibility to cover colleagues’ annual leave, sickness or other absence as needed.
Skills & Competencies Required:
- Experienced administrator with a background in health and/or community settings.
- Proficient with Microsoft Office (Word, Excel) and database systems.
- Positive and proactive, able to work at pace with multiple tasks.
- Adept communicator with a welcoming style when interacting with patients, health professionals and colleagues.
- Strong team player who builds relationships and works independently on own tasks.
- Quality‑driven, consistently seeks high standards and improvement.
- Open to new ideas and perspectives.
Qualifications:
- GCSE / O Level in Maths and English, or equivalent.
- NVQ Level 2 in a relevant subject, or significant equivalent experience.
- RSA Typing Level 2 or above.
- NVQ Level 3 in a relevant subject.
Experience:
- Working in a team environment.
- Demonstrable experience in a reception/administration role.
- Experience in a health‑care setting (e.g. community health provider, GP practice, hospital).
- Experience in minute‑taking for meetings.
