The Single Point of Access Administrator plays a vital role in the smooth and effective operation of One You Kent by acting as a central administrative and contact function for the service. You will support the SPOA team by managing referrals, handling enquiries, maintaining accurate records, booking appointments, and ensuring clients and professionals receive a timely, professional, and person-centred response. The role is key to ensuring performance targets, data quality standards, and contractual timescales are consistently met.

Main duties of the job include:

  • Acting as the first point of contact for One You Kent, managing referrals received via telephone, email, and digital systems.
  • Accurately receiving, processing, triaging, and allocating referrals in line with service pathways and agreed timescales.
  • Maintaining clear and professional communication with service users and referring professionals.
  • Maintaining accurate client records across service systems in line with GDPR and information governance requirements.
  • Supporting administration including correspondence, appointment scheduling, and responding to service queries.
  • Ensuring all activity and outcomes are recorded to support performance monitoring and reporting.
  • Working closely with the SPOA Lead and wider teams to support service flow and capacity.
  • Assisting with workload monitoring and performance checks.
  • Contributing to reporting, documentation, and meeting support as required.
  • Providing flexible cover for colleagues during periods of absence.
  • Ensuring compliance with service policies and contractual requirements.
  • Supporting audits and data quality checks.
  • Contributing to continuous service improvement through identifying efficiencies and improving processes.

Person Specification:

Experience:
  • Demonstrable experience in an administrative role.
  • Experience of working effectively as part of a team.
  • Experience in health, public health, community or social care setting.
  • Experience within a SPOA, referral management or contact centre environment.
Qualifications:
  • GCSE (or equivalent) in English and Maths.
  • NVQ Level 3 (or equivalent) in a relevant subject.
