The Opportunity
We are looking for a highly organised and proactive Office & Fleet Administrator to join our team in Reigate. This varied role provides essential administrative and operational support across the business, working closely with HR, Transport, Operations and wider support functions. You'll play a key role in ensuring the smooth running of the office while supporting the administration and compliance of our fleet and courtesy vehicle operations. Key Responsibilities
Office Administration
- Manage incoming and outgoing post.
- Welcome visitors and provide a professional first impression.
- Maintain a tidy, organised and well-presented office environment.
- Order stationery, office supplies and equipment while monitoring costs.
- Arrange travel, accommodation and meeting room bookings.
- Support diary management where required.
- Process invoices, purchase orders and cost allocations accurately.
- Maintain TV licence declarations and associated records.
- Provide administrative support to HR, Transport, Operations and other departments.
Fleet Administration
- Maintain accurate fleet records, including vehicle registrations, insurance, MOTs and servicing schedules.
- Manage courtesy car administration, bookings and documentation.
- Coordinate vehicle servicing, repairs and preventative maintenance.
- Support driver compliance activities, including licence checks and incident reporting.
- Assist with fleet-related health and safety administration.
- Manage and track vehicle fines, ensuring timely allocation and resolution.
Communication & Stakeholder Support
- Liaise with leasing companies, insurance providers, maintenance suppliers and other external partners.
- Support Transport Managers with fleet reporting and compliance information.
- Assist HR and Operations with internal and external communications.
- Build strong relationships across the business and provide reliable administrative support.

Essential Skills & Experience
- Strong administrative and organisational skills.
- Excellent attention to detail and accuracy.
- Experience working with databases, systems and spreadsheets.
- Ability to prioritise and manage multiple tasks effectively.
- Strong communication and customer service skills.
- Good working knowledge of Microsoft Office, particularly Excel.
