We are looking to recruit a Patient Support Advisor to join our Patient Support Team at Abbey House Medical Practice. The focus of this role is to provide a complete reception and telephone triage service to our patients whilst maintaining patient confidentiality and promoting the professional image of Abbey House Medical Practice. You will also provide administrative support for all aspects of general medical business including scanning, prescription processing, filing of medical records & patient registrations.

The Patient Support Team are always busy so there is never a dull moment - if you are looking for a job that offers great variety working within a friendly team, this could be the perfect opportunity for you! This is a permanent part-time position - 25 hours per week Monday to Friday, with a 5 hour shift to be worked per day between 13.00-20.00.

Main duties of the job
  • We are seeking an individual who is enthusiastic, approachable, compassionate, organised and must be able to work as part of a team.
  • Excellent customer service skills & the ability to multitask are also essential in the undertaking of this role.
  • The successful candidate must demonstrate good communication skills face to face, over the telephone and written down plus be able to actively listen to both patients and colleagues.
  • A basic knowledge of computers is essential.
  • Previous use of Microsoft Windows or SystmOne would be an advantage however full training will be given.
  • Previous experience working in a reception setting or experience of the use of appointment systems is desirable.

Job responsibilities
  • Opening of premises, restoring telephone and computerised appointment systems or at the end of Surgery - switching over of telephone systems, recording new messages (dependent whether am or pm working).
  • Receiving and routing patients on arrival in an efficient and courteous manner.
  • Making new and follow up appointments, both face to face and via the telephone.
  • Handling general enquiries and promoting the services offered by the Surgery.
  • Informing patients of cancelled appointments.
  • Receiving payments from patients and providing receipts when required.
  • Completion of T/R forms together with computer entries.
  • Using computer as required.
  • Leaving reception area/call centre tidy and ready for incoming colleagues together with information regarding unresolved or urgent information.
  • Making tea/coffee for visitors/Doctors as and when necessary.
  • Tidying waiting areas when necessary.
  • Dealing with all incoming and outgoing post.
  • Ensuring sufficient stationery supplies are available in reception and call centre.
  • Testing fire alarms on a regular basis.
  • Input change of address forms onto computer.
  • Making up of antenatal packs as required.
  • Photocopying and shredding as and when required.
  • Issuing self certification forms etc for patients to complete.
  • Registration of all new patients, preparation of their files and inputting information onto the computer in respect of immunisations, cytology results and rubella status for new female patients.
  • Scanning of correspondence, forwarding as necessary via e-mail and placing in patients electronic records.
  • Repeat prescriptions and associated administration.
  • Update patients notes and add read codes as directed by the Doctors.
  • Ensuring summaries are added accurately to patients notes.
  • Keeping of accurate appointment statistics.
  • Clinical administration support.
  • Any other duties that may be required and agreed by the Doctors and Practice Manager.
