Responsibilities
- Ensure effective service levels and act as the representative towards customers, clients and developers as appropriate, ensuring all aspects of the development are fully presentable, serviced and properly maintained.
- Directly manage and support a team of 6 staff, including an Estate Assistant, providing leadership, guidance, training and performance management.
- Maintain effective working relationships with the committee of any Residents Association, RMC or RTM.
- Attend meetings as appropriate and identify and deliver ongoing training needs to support the team.
- Utilise appropriate internal and external methods and support to ensure the effective operation of the development.
- Conduct frequent reviews with direct reports, providing constructive feedback and coaching and ensuring KPIs and SLAs are met.
- Manage internal resources and staff performance, setting guidelines, managing holiday and sickness absences and organising shift cover, including emergency cover where required.
- Maintain cost control and review expenditure and accounts, including setting service charges and presenting accounts, together with preparation and presentation of bi-monthly financial summary reports.
- Arrange and attend proactive customer, contractor and client meetings, ensuring issues are promptly administered and dealt with within agreed timeframes.
- Respond to complaints up to Stage 1 and collaborate with the Regional Manager on Stage 2 complaint responses.
- Review year-end accounts and monitor financial performance, providing quarterly reporting to the client.
- Complete risk assessments, health and safety checks and routine testing requirements, ensuring any concerns are acted upon and completed within the required timeframe.
- Monitor and supervise contractors carrying out works on and around the development.
- Maintain knowledge of building safety requirements and relevant legislation.
- Raise and monitor works orders, ensuring all works are delivered within designated timeframes.
- Maintain knowledge of Section 20 consultation requirements and work closely with the major works team to expedite outstanding major works.
- Ensure reactive and planned works are conducted to a high standard.
- Ensure all irregular incidents are investigated and reported to the Development Manager.
- Provide a response to emergency queries outside normal office hours, directing colleagues as appropriate and attending where necessary.
- Carry out regular inspection audits of the site and take or organise remedial action where required.
- Ensure the fabric of the buildings, both externally and internally, is maintained and serviced to a high standard, including achievement of all KPIs.
Essential Experience
- TPI Level 2 or above.
- Essential - experience managing a service charge budget.
- Strong residential property management experience.
- Minimum 3 years' experience in a similar Property Manager, Building Manager or Development Manager role.
- Experience managing and developing a team.
- Up-to-date knowledge of relevant building, health and safety and residential property legislation.
