About Formula E: Formula E, the world's fastest-growing sport, is redefining motorsport with a bold focus on innovation and sustainability. Hosting over 100 races in iconic cities globally and backed by top manufacturers like Porsche and Jaguar, we feature elite drivers and cutting-edge EV technology. As the world's first sport certified Net Zero Carbon from inception, Formula E combines thrilling entertainment with a mission to advance sustainable progress, inspiring a global fanbase with our high-performance brand new GEN3 EVO race car capable of 0-60mph in 1.82 seconds (0-100kph in 1.86s). Using the spectacle of sport, we are sending a powerful and meaningful message to help alter perceptions and speed up the switch to electric mobility.

The Role: Are you a high-level hospitality professional ready to orchestrate the guest experience for the world’s most innovative racing series? We are looking for a VIP Lead to join the Formula E team. This isn't just a guest relations role; it is a mission-critical position where you will serve as the primary architect of the journey for our most influential stakeholders, ensuring every dignitary and C-suite visitor experiences the pinnacle of world-class service. You will be the vital bridge between the organisation’s leadership and its high-profile visitors. You will balance meticulous administrative planning with high-energy on-site execution, ensuring that while the action unfolds on the track, our guests receive a seamless, "best-in-class" experience that upholds the brand's global prestige.

End-to-End Guest Journey & CRM Command: From the initial "hold the date" to the final post-race feedback report, you own the VIP lifecycle. You don't just manage a list; you build detailed, high-security guest profiles within our CRM tool, documenting personal preferences, dietary requirements and engagement history to ensure every interaction feels personalised and exclusive.

Strategic Stakeholder & Logistics Synergy: You are the operational pulse point for the CEO’s office and department leads. You coordinate the end-to-end distribution of VIP ticketing and accreditation, ensuring every guest has the correct credentials and curated itineraries. Whether you are managing executive gifting or raising purchase orders for global suppliers, you ensure every administrative detail aligns with strict corporate compliance.

On-Site Leadership & Operational Excellence: You travel internationally to be the face of VIP relations on the ground. You are responsible for the seamless execution of guest arrivals, meet-and-greet and high-pressure troubleshooting during race weekends. You lead the delivery of executive briefing documents and manage ad-hoc requests with absolute discretion, ensuring that hospitality operations run with the same precision as the cars on the grid.

What We’re Looking For:

  • VIP Specialist: You possess proven experience in a customer-facing role within a fast-paced, high-stakes environment like sports, entertainment or luxury hospitality. You have a demonstrable track record of working with C-suite individuals, dignitaries or VIPs, and understand the nuances of high-level protocol.
  • The Precision Planner: Your attention to detail is legendary. You have the organisational skills to manage complex, confidential data and the administrative proficiency to handle IT systems, CRM tools and financial documentation (POs/Invoices) without error. You are a master of the "logistics behind the luxury."
  • The Resilient Problem-Solver: You are a natural team player with a "can-do" attitude and a high level of integrity. You thrive under pressure and can navigate tight deadlines and the often unsociable hours of a global race calendar. You possess the interpersonal skills to build trust with high-profile stakeholders and the adaptability to solve problems on the fly.
  • The Global Ambassador: You are self-motivated and ready to take your career to the world's most iconic cities. You are willing to travel extensively and possess the cultural awareness to engage with a diverse, international audience. A background as a PA or EA to a CEO is a significant plus, as is a genuine passion for the future of motorsport and sustainability.

What’s in It for You: 25 days' annual leave, Birthday day off and Wellbeing leave. Opportunity to extend your stay if travelling for a race event. Health Cash Plan and access to the Aviva Digital Workplace app. Enhanced Parental Leave. Flexible Bank Holidays. Paid volunteer and carer's leave. Cycle to Work and Electric Car Scheme. Formula E store discount. Regular social events and employee working groups.

While this is advertised as a full-time position, we welcome applications from candidates seeking part-time or flexible working arrangements and are happy to discuss how this role could work for you. This is a hybrid role and you'll be required to do 3 days a week in our Hammersmith London office.

At Formula E, we are building a culture where every voice matters, every perspective accelerates progress, and every individual is empowered to rise, contribute boldly, and shape a better world - together. We will provide equal opportunities regardless of an individual's protected characteristics. We believe in attracting and retaining diverse talent to strengthen our global vision with a variety of experiences, backgrounds and perspectives.

We’ll see you at the starting line!
