We are currently seeking a proactive, innovative, and highly organised Secretary to join our client's team and play a key role in the seamless operation of a dynamic and fast-paced office.
As a Secretary, you will be responsible for providing essential administrative support to Solicitors and Directors within a busy legal environment. Your role will primarily focus on assisting with family law and private client matters, ensuring the smooth management of office operations, and delivering exceptional client service.
Requirements:
- 3 or more years working as a Corporate / Legal Secretary
- Experience with transcribing audio files and written notes is essential
- Knowledge or experience in Family Law is desirable
- Familiarity with using a legal case management system is a plus
- Strong proficiency in Microsoft Word and Excel
- Excellent communication skills, both written and verbal
- Highly motivated with the ability to multi-task in a fast-paced environment
- Exceptional organisational skills with strong attention to detail
Key Responsibilities:
- Assist with general family law and private client work as directed by Solicitors and Directors
- Transcribe digital dictations accurately and efficiently
- Serve as part of the inbound call team, accurately taking and relaying telephone messages
- Open and close client files as directed
- Scan and photocopy documents as required
- Take card payments from clients and process payments
- Process incoming and outgoing post in line with agreed processes
- Manage the office calendar and schedule meetings on behalf of Directors and Solicitors
- Maintain client files in accordance with agreed standards and processes
- Produce legal documents as directed by Solicitors and Directors
- Perform additional tasks as required by a Legal Secretary in a busy legal environment
